The Event Planning Manager is responsible for the planning, coordination, and execution of a wide range of university events, including academic ceremonies, student engagement activities, fundraising events, conferences, and community programs. This position requires exceptional organizational skills, creativity, and the ability to manage multiple projects simultaneously while ensuring events align with the mission, branding, and goals of the university.


Responsibilities

  • Plan, organize, and manage logistics for university-sponsored events, including commencements, convocations, orientations, conferences, donor/fundraising events, and student engagement activities.
  • Partner with academic departments, student organizations, and administrative units to design events that enhance the university experience and advance institutional goals.
  • Develop and manage event budgets, including vendor negotiations, contracts, and cost tracking to ensure fiscal responsibility.
  • Coordinate event logistics such as venue selection, catering, décor, technology/AV needs, transportation, and guest services.
  • Supervise event staff, volunteers, and student workers, providing training and direction to ensure high-quality execution.
  • Collaborate with University Communications and Marketing to develop promotional materials and event branding consistent with institutional standards.
  • Ensure compliance with university policies, safety regulations, and accessibility requirements.
  • Conduct post-event evaluations and provide recommendations for improvement.
  • Build and maintain positive relationships with vendors, donors, alumni, students, faculty, and staff.
  • Ability to work evenings, weekends, holidays, and extended hours as required by event schedules.
  • Must be able to lift and carry event-related materials, bend, and work in various weather conditions as needed for outdoor or large-scale events.


Education

  • Bachelor’s degree in Event Management, Hospitality, Communications, Business Administration, or related field.
  • Minimum of 3–5 years of professional experience in event planning or project management, preferably in higher education or a nonprofit environment.
  • Must be able to lift 10 pounds.
