Job Title:         Executive Assistant to the CEO & Board Liaison

Department:   Administration

Supervisor:     Chief Executive Officer

Location:         Washington, DC and Hyattsville, Maryland.

Classification:  Exempt 

 

Synopsis: 

La Clínica del Pueblo is seeking a highly skilled and organized Executive Assistant to provide comprehensive support to the CEO and manage relations with the Board of Directors. This critical role requires exceptional organizational abilities, discretion in handling confidential matters, sound judgment, and a high level of professionalism. The ideal candidate will be fully bilingual in English and Spanish and able to communicate effectively across both languages. 

 

Qualifications: Required Education and Experience:

  • Bilingual (English/Spanish): Full proficiency in both written and spoken English and Spanish. 
  • Experience: Minimum 5 years of experience as an Executive Assistant, ideally in a healthcare or non-profit environment. Experience working with boards is a plus.  
  • Skills: 
  1. Exceptional organizational and multitasking abilities. 
  2. Strong written and verbal communication skills in both English and Spanish. 
  3. High degree of discretion and professionalism in handling confidential information. 
  4. Strong attention to detail, with the ability to manage competing priorities. 
  5. Proficiency in Microsoft Office Suite and virtual meeting platforms (Zoom, Teams, etc.).

Key Responsibilities: 

 

Executive Support to the CEO: 

  1. Manage the CEO’s calendar, appointments, and meetings. 
  2. Screen and prioritize incoming communications (emails, calls, documents) and respond on behalf of the CEO when appropriate. 
  3. Coordinate travel arrangements, itineraries, and prepare expense reports. 
  4. Draft and prepare correspondence, presentations, and reports for internal and external use. 
  5. Assist in special projects and initiatives led by the CEO. 
  6. Assist with general office tasks, including document management and filing. 
  7. Support the CEO in managing cross-functional internal communications. 
  8. Handle special assignments as directed by the CEO. 
  9. Serve as the gatekeeper of the CEO’s schedule and liaison between the CEO and Executive Team   

 

Board Liaison Responsibilities: 

  1. Serve as the primary point of contact between the Board of Directors and the CEO.  
  2. Organize, schedule, and coordinate Board meetings, including preparation and distribution of agendas, meeting materials, and minutes. 
  3. Assist in the planning and execution of Board retreats and other events. 
  4. Manage sensitive information related to Board decisions, meetings, and personnel matters with discretion and confidentiality. 
  5. Supervisory Responsibilities: None. 

 

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer 
  • Must be able to lift up to 15 pounds at times
