Vibrant is searching for an Administrative Assistant  who will support our mission. The Administrative Assistant provides support to our managers and employees, assisting in daily office needs and our company’s general administrative activities. Helps ensure that all interactions between the organization and others are positive and productive. Responsible for confidential and time sensitive material.

Requirements

  

Basic Functions 

 The Administrative Assistant provides support to our managers and employees, assisting in daily office needs and our company’s general administrative activities. Helps ensure that all interactions between the organization and others are positive and productive. Responsible for confidential and time sensitive material.  


Responsibilities: 

  

· Answer phones, emails, and texts to provide customer service to our field staff, clients and their families and referral sources 

· Provide daily scheduling needs

· Greet, welcome and provide general support to all visitors 

· Post/Manage Job postings and assist in scheduling interviews and/or phone screening applicants 

· Prepare marketing, intake and onboarding materials 

· Assist with annual client paperwork

· Basic office functions – scanning, sorting/preparing mail, filing, preparing documents etc. 

· Order and maintain office supplies 

· Run operational reports as directed from Management/Administration 

· Create/manage content for social media and/or website blogs 

• Always represent the agency professionally 

• Other duties as assigned 

 

Essential Qualifications: 

  

· Demonstrated customer service skills and ability to de-escalate situations 

· Computer/keyboarding skills: Microsoft office, excel, PowerPoint, Adobe 

· Have an interest in serving the elderly or people with disabilities 

· Excellent verbal and written communication skills 

· Ability to provide customer service to all types of people of different age, race, gender, socioeconomic status and special needs.  

· Ability to manage multiple projects and deadlines; and thrive in a fast-paced environment 

· Have a positive attitude and be a team player 

 

Special Requirements: 

• Ability to drive to work site locations

• Valid Driver’s License and auto insurance 

• Ability to lift 25-50 lbs., bend, twist, kneel, reach, push, pull and carry
