This position reports directly to Inovata Foods’ Human Resources Manager and will have a high level of collaboration with all departments. 

Inovata Foods Corp.is looking for a Payroll Assistant to partner with us as we bring families and friends together through offering wholesome and convenient meals. The role is located in our Tillsonburg, Ontario facility. Inovata Foods Corp. is a major producer of wholesome control brand frozen meals for many of North America’s largest retailers.

Primary Responsibilities:

    • Import and review time entries for all hourly employees in two facilities (Ontario and Alberta).
    • Prepare payroll matters for the Payroll Administrator including transfer forms, termination forms, etc.
    • Process all information changes in the HRIS/Payroll systems.
    • Maintain employee payroll records, including tax forms, direct deposit details, and salary adjustments.
    • Print and distribute paystubs.
    • Assist with ROE creation and processing.
    • Assist with year-end payroll processes, including T4 distribution and reconciliations.
    • Provide support and guidance to employees and managers on payroll-related questions and concerns.
    • File and organize payroll-related documents, both digitally and physically.
    • Track and manage leave balances (sick leave, vacation, etc.).
    • Prepare reports related to payroll, attendance, and deductions.
    • Serve as the first point of contact for employee payroll-related inquiries.
    • Explain paycheck details, tax withholdings, and deductions to employees.
    • Assist new hires with payroll onboarding (e.g., setting up direct deposit, tax forms).
    • Assist with internal and external audits related to payroll.
    • Support the HR team with various projects.
    • Assist in continuous improvement of payroll processes and systems.
    • Provide backup support for other administrative or HR tasks during peak periods or absences.

Requirements:

  • Payroll Compliance Practitioner (PCP) certification or working towards is an asset.
  • Previous experience in a payroll position is required.
  • Strong interpersonal and communication skills with a professional demeanor.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • High attention to detail and ability to maintain confidentiality.

Working Conditions:

  • General office environment with regular interaction with employees and visitors.

  • Occasional visits to production areas, requiring adherence to food safety policies.

  • Prolonged periods of sitting and working at a computer.
