About the Department

The Safety Department Administrative Specialist is responsible for supporting the Safety Department by assisting with the administration, coordination, and monitoring of safety programs, workers’ compensation processes, and related compliance activities. This position provides essential administrative support, including record keeping, data collection and reporting, and the management of video and audio files to assist with incident reviews and investigations. The role requires close collaboration with the Safety Department, Workers’ Compensation Department, and other organizational departments to promote a safe workplace and ensure compliance with applicable laws, regulations, and company policies. This position reports directly to the Director of Workers Compensation & Safety Compliance with occasional direction also from the AGM of Safety & Training.

Position Duties

  1. Perform general safety-related administrative duties and provide support for the Workers’ Compensation program and safety department as needed.
  2. Monitor safety management systems to identify, track, and mitigate workplace safety risks.
  3. Collect, analyze, and report safety performance metrics, providing summaries and recommendations to management.
  4. Review and evaluate applicable safety regulations to ensure organizational compliance.
  5. Utilize safety reporting and hazard mitigation software for tracking, analysis, and compliance monitoring.
  6. Assist in safety and Workers’ Compensation investigations by coordinating documentation, preparing reports, and processing forms as required.
  7. Conduct video and audio surveillance review, retrieval, editing, and processing to support safety investigations.
  8. Organize, archive, and maintain video, audio, and safety-related records for easy retrieval and compliance purposes.
  9. Prepare and distribute safety bulletins, alerts, and other communications to promote awareness and continuous improvement.
  10. Create, review, update, and maintain safety-related policies, procedures, and administrative records.
  11. Attend safety walk-throughs, inspections, and audits to identify and reduce potential hazards.
  12. Assists in emergencies involving any systemwide workers compensation or safety issues on a 24/7 basis.
  13. Participate in safety committees, meetings, and risk assessments.
  14. Provide clerical and administrative support, including drafting correspondence, preparing reports, copying, filing, and record keeping.
  15. Prepare statistical summaries, trend analyses, and safety data reports as requested.
  16. Assist in monitoring, maintaining, and producing OSHA logs, incident records, and related compliance reports.
  17. Support training efforts by preparing materials, attending in-service sessions, and providing assistance to Agency staff as required.
  18. Maintain thorough knowledge of Agency policies, procedures, and safety requirements.
  19. Assist with departmental projects and initiatives that promote workplace safety and compliance.
  20. Process invoices, payments, or legal documents related to safety and Workers’ Compensation matters as needed.

Minimum Qualifications

  1. Minimum possession of a bachelor’s degree or professional certificate in Public Transportation, Public Administration, occupational health, occupational safety, safety management or closely related field and three (3) years of relevant work experience is required.
  2. An equivalent combination of education and work experience on a year for year basis can be substituted for the 4-year degree or professional certificate requirement. 
  3. Minimum of three (3) years of professional full-time experience in the area of accident investigations, safety inspections, workers compensation, or compliance.
  4. Knowledgeable of State of Connecticut statutes and regulations regarding safety and/or claims preferred. 
  5. Experience working in a union environment is preferred.
  6. Proficient in software programs (Microsoft Office Suite/365), Internet applications and utilization of all relevant office equipment.  The ability to learn quickly internal software programs.  
  7. Ability to work both independently and in a team environment is essential.
  8. Ability to accurately gather, organize, process, analyze data and create reports as needed.
  9. The ability to prioritize projects and have excellent communication (especially verbal), interpersonal skills, tact and diplomacy.

  12. Flexible availability including nights and weekends as needed to support a 3-shift 24/7/365 operation.
  13. A Valid Driver’s License is required. Individuals may be required to travel in the course of their daily work.
