The Prince George’s County Department of Permitting, Inspections, & Enforcement is currently seeking qualified applicants to fill an Administrative Aide 1A grade A13/15 position in the Office of the Director.
About the Position
This is dually allocated entry-level secretarial/administrative type work designed to relieve an important official of administrative detail. Good judgment and discretion are essential to the security of confidential information and data. Under close supervision, incumbents perform routine to moderately difficult office responsibilities. Responsibility extends to conveying important administrative information concerning the function and mission of the agencies' programs and projects. Typically, Administrative Aide I's report either to a section head or to an administrative supervisor (generally grade G-21). Work performance is evaluated in terms of accuracy and timely completion of projects and assignments.
About The AgencyThe Department of Permitting, Inspections and Enforcement (DPIE) is responsible for coordinating and enforcing standards that control what goes on before, during, and after construction. Staff from nine agencies, who work cooperatively on permit processing, business licensing, plan review, inspection and enforcement comprise Department of Permitting, Inspections, and Enforcement. The Mission of the Department of Permitting, Inspections, and Enforcement is to promote economic development in Prince George's County and protect the safety of County residents, businesses, and visitors through efficient permitting, inspection and licensing services to ensure compliance with established building, zoning and property standards codes.
Position Duties
The incumbent performs a wide variety of office support work for the Director's Office staff. All work is performed under the supervision of the Executive Administrative Aide. Duties include answering incoming calls to the Director's office, resolving inquiries or concerns and accurately transfers to appropriate staff for assistance. Greeting all visitors, maintaining the reception area, conference rooms and break room, maintaining, and ordering office supplies. Typing, using word processing skills, maintaining logs, various reports, and records, maintaining logs and electronic filing systems. Enters work orders, and service request and other related duties. Answering phones using the AWS system using courteous telephone techniques. Screens telephone calls answers questions relating to office or department operations; determines which requires the direct attention of the Director, Deputy Director, or Supervisor and which should be referred to other staff members. Scans and logs mail, routes to appropriate Division, and tracks responses. Willingly and cooperatively performs tasks and duties which may not be specifically listed in the class specifications or position description, but which are within the general occupational category and responsibility level typically associated with the employee's class of work. Maintains electronic filing systems and logs to ensure that documents are readily retrievable. Provides administrative support for the Director's Office. Enters work order tickets and OIT Service Requests.
Minimum Qualifications
- High school diploma or G.E.D. certificate with coursework in typing, office practices or other related clerical subjects
- One (1) year of advanced diverse and/or technical clerical experience which must have involved working with the public for at least six (6) months
- Applicants must be proficient in typing and in shorthand where required
Preferred Qualifications:
- Ability to communicate effectively both orally and in writing
- Ability to deal courteously and effectively with others
- Experience with database tools, creating and executing reports
- Knowledge of secretarial practices and procedures to perform secretarial/administrative duties'
- Skill in the operation of a variety of standard office equipment
- Ability to use tact, diplomacy, and discretion in performing office duties and to maintain confidentiality when necessary
- Ability to establish and maintain accurate files

Conditions of Employment:? Upon selection, the candidate must:
Pass an administered Administrative Aide exam. Applicants who have previously taken and passed the exam on or after 8/1/2024 will not be required to re-test. Previous passing test scores will be applied.
Meet all training and performance standards and demonstrate proficiency as required by the agency.
Wear and use agency protective apparel and equipment in the performance of their assigned duties.
Successfully pass preemployment checks which may include reference checks, background investigations, and drug screenings, where applicable.
Be willing and able to serve as an essential employee. Essential employees are expected to report during standard or non-standard hours as operations necessitate, or during emergencies. Essential employees are expected to report or remain at work when other County employees are granted Administrative Leave.
