We are seeking a highly organized, proactive, and detail-oriented Executive Administrative Assistant to provide high-level support to our executive team. This role requires exceptional communication skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will be a strategic partner who ensures smooth day-to-day operations and helps drive organizational efficiency.

Key Responsibilities

Calendar & Schedule Management:

  • Coordinate and maintain complex calendars
  • Schedule meetings, appointments, and events across time zones
  • Send reminders and prepare executives for upcoming engagements

Travel & Logistics Coordination:

  • Assist with domestic and international commercial travel for executives
  • Proactively monitor travel of Executive Committee (ExCo) members visiting North America
  • Manage charter flight scheduling and logistics
  • Prepare detailed itineraries and manage expense reports

Communication & Correspondence:

  • Serve as the primary point of contact between executives and internal/external stakeholders
  • Handle confidential information with discretion

Meeting & Event Coordination:

  • Coordinate leadership team (Lt) meetings and events
  • Support logistics and planning for internal and external engagements

Qualifications

  • Proven experience as an Executive Assistant, Administrative Assistant, or similar role
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent written and verbal communication skills
  • Ability to prioritize tasks and manage time effectively
  • High level of professionalism and confidentiality
  • Bachelor’s degree preferred
