- Use software programs (FreeFlow, Fiery, Adobe Acrobat, Illustrator, InDesign, Publisher, etc.) to efficiently process and produce print requests.
- Troubleshoot printers/copiers and coordinate with repair technicians as needed.
- Check job orders for accuracy; box, route, and deliver completed orders.
- Communicate with district staff regarding copy/print order requests and provide advice on layout, design, and production.
- Maintain inventory of paper and supplies, maintaining adequate stock to complete orders.
- Prepare and maintain accurate billing records, chargebacks, and monthly databases for copy counts and additional charges by school/department.
- Process invoices and purchase orders; submit charges to Accounts Payable.
- Assist with tracking expenditures and maintaining budget records; prepare data and reports to support the Print Services Manager and Director of IT in budget monitoring.
- Coordinate with vendors regarding supply orders, equipment leases, and service agreements, ensuring accurate documentation.
- Assist in scheduling, deadlines, and workflow efficiency improvements.
- Stay current on financial and procurement procedures to ensure compliance with district policies.
- Education: High school diploma or GED required; additional postsecondary coursework in office administration, accounting, or printing technology preferred.
- Experience: At least 2 years of experience in a print/production environment, plus experience with billing, invoicing, or financial record-keeping.
- Ability to: Operate and troubleshoot digital printers/copiers and bindery equipment; prepare accurate billing and financial records; balance multiple priorities in a high-volume environment; establish effective working relationships with staff and vendors.
- Knowledge of: Print workflow software, Adobe Acrobat and Microsoft Office; purchasing and invoicing processes; standard safety practices in print operations.
- Education: Associate’s degree in business administration, accounting, printing technology, or related field.
- Experience: 3+ years of progressively responsible experience in print services or financial coordination roles.
- Ability to: Implement process improvements to increase efficiency; manage vendor communication and supply purchasing with minimal oversight.
- Knowledge of: District or enterprise-level financial systems; contract management practices; emerging trends in print workflow automation

Position Purpose: The Print Services Support Specialist contributes to the efficient operation of the Print Center by combining technical print production responsibilities with administrative and financial support. The position primarily assists with daily print production and customer service while also providing billing, purchasing, and budget record-keeping support to ensure high-quality, cost-effective print services for the district.

This position reports to: Director, Information Technology
Regular contact with district staff and administrators to coordinate print requests, billing, and scheduling. Frequent interaction with Accounts Payable and Purchasing for invoices and supply orders. Occasional contact with vendors regarding supply orders, service agreements, or equipment needs. Requires clear communication, accuracy in records, and a customer-service focus.
Problem Solving:
Work involves balancing production deadlines with billing accuracy and supply management. Requires the ability to troubleshoot print equipment issues, resolve discrepancies in billing records, and prioritize multiple tasks in a fast-paced environment. Errors may result in delays to district operations or financial inaccuracies.
The incumbent works under the direction of the Director of Information Technology. Routine tasks such as print production, billing, and supply orders are completed independently, while unusual or large-scale purchasing, contract changes, or budget adjustments are referred to the supervisor. The incumbent is expected to take initiative to ensure production and financial tasks are completed on time and in compliance with district policies.

Work Environment:
Work is performed primarily indoors in a print production environment. The noise level is typically moderate but can be loud when operating equipment. Office tasks are performed in a standard office setting with typical noise and interruptions.
