About the Role: 

The Assistant Manager, Mail Services, is responsible for overseeing the day-to-day operations of the campus mail facility. This role supports the Mail Services Manager by ensuring efficient mail distribution, processing, and delivery, both internally and externally. The Assistant Manager will also coordinate with various departments and ensure compliance with postal regulations and company policies. 

 

Minimum Qualifications: 

  • High school diploma or equivalent required
  • Minimum of 3-5 years of experience in mail services, logistics, or a similar operational role
  • Ability to lift and carry mail and packages weighing up to 50 pounds.
  • Ability to stand, walk, and move throughout the mailroom for extended periods.
  • Excellent organizational and time-management skills.
  • Effective communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and mail management software.
  •  Supervision of assigned staff and/or student positions as detailed in the Supervisor Handbook.

  

 Preferred Qualifications: 

  • Strong leadership and team management abilities.

  

Physical Requirements for this Role: 

  •  Ability to climb, balance, stoop, kneel, and crouch is required.
  •  Ability to regularly lift and/or move up to 25 pounds is required.
  •  Ability to lift and/or move up to 50 pounds is required.

   

Key Responsibilities: 

Operational Management: 

  • Daily operations of the mail services team, including sorting, processing, and distributing incoming and outgoing mail.
  • Ensure timely and accurate delivery of mail to various departments and external locations.
  • Monitor and manage mailroom equipment and supplies, ensuring that all equipment is in good working order and adequately stocked.

Customer Service: 

  • Serve as the primary point of contact for internal departments and external vendors regarding mail services.
  • Address and resolve any issues or concerns related to mail services in a timely and professional manner.
  • Ensure a high level of customer satisfaction by maintaining effective communication and providing excellent service.

Compliance and Safety: 

  • Ensure compliance with all postal regulations, company policies, and safety guidelines.
  • Conduct regular audits of mail services operations to ensure adherence to standards.
  • Implement and enforce safety procedures to protect staff and prevent accidents.

 

Skills and Competencies: 

The required skills for this role include strong operational and organizational skills, with the ability to manage the day-to-day mailroom functions efficiently and accurately. Excellent attention to detail, time management, and problem-solving abilities, ensuring timely distribution and compliance with all relevant postal regulations and university policies. Proficiency in Microsoft Office Suite and mail management systems is required, along with the physical ability to lift and move packages up to 50 pounds and work on their feet for extended periods. Effective communication and interpersonal skills are essential for working with internal departments and external partners, while commitment to customer service is key to maintaining a high level of satisfaction.
