General Purpose
The Group Reservations Coordinator at Sandestin Golf & Beach Resort plays a key role in capturing group business by effectively utilizing selling techniques, maintaining accurate records, and delivering outstanding service to group leaders and guests. This position requires a courteous, self-motivated, and detail-oriented professional who thrives in a fast-paced, guest-focused environment. This is an on-site position.
Essential Duties and Responsibilities
- Receive, communicate, coordinate, and confirm group reservations for the Resort.
- Monitor all group room blocks on a weekly basis to ensure timely release according to contracted dates.
- Review input, changes, billing requirements, and VIP/complimentary allotments with clients.
- Collaborate with the group supervisor, sales managers, and conference services team to resolve challenges.
- Accurately manage time-sensitive, high-level group information and reservations.
- Communicate clearly and professionally, both verbally and in writing, with corporate and leisure group leaders.
- Prepare accurate reports, including pick-up status and group resumes, for distribution to internal and external stakeholders.
- Build strong guest connections by delivering high-quality service and responding promptly to requests.
- Participate in pre-conference meetings, take detailed notes, and communicate updates as needed.
- Speak confidently during pre-conference meetings, weekly resume calls, and pickup calls.
- Perform additional duties and responsibilities as assigned, including:
- Supporting special projects.
- Representing the Resort professionally at community and industry events.
- Collaborating across departments as a strong team player.
- Providing constructive feedback to improve service and operations.
- Serving as a role model and leader to peers and colleagues.
Education & Experience
- One-year certificate from a college or technical school, or 12 months of related experience/training, or an equivalent combination of education and experience.
- Minimum one year of high-volume call center experience in a metric-driven environment required.
- Experience with TRACK Pulse and/or Springer-Miller Systems (SMS) preferred.
Skills & Competencies
- Strong verbal and written communication skills.
- Ability to read, write, and understand the primary language(s) used in the workplace.
- Highly organized with strong attention to detail.
- Proficient in Microsoft Office Suite and basic computer systems.
- Ability to analyze and interpret data to improve practices or develop new approaches.
- Experience working independently with minimal supervision while contributing as part of a team.
- Strong interpersonal and problem-solving skills.
- Flexibility to work varied schedules, including weekends.
Physical Demands
- Majority of work performed indoors in a controlled environment.
- Ability to sit at a desk for extended periods (up to 5 hours per day).
- Walking and standing required throughout the workday.
- Ability to lift items weighing up to 50 lbs. occasionally.
- Ability to push and pull carts/equipment up to 250 lbs. occasionally.
- Frequent bending, stooping, squatting, and stretching.
- Continuous talking, hearing, and visual focus required for communication and reporting.
- Manual dexterity for office equipment including computers, printers, and photocopiers.
