About the Role

We are seeking a highly organised and proactive Test Day Resource Deployment Assistant to join our Cluster Resource Pool Management Team in English and Exams on a one-year fixed-term contract. This is a part-time role (17.5 hours per week), working on a rotational shift pattern that includes early mornings and occasional Saturdays. This role plays a key part in ensuring the smooth planning and delivery of exams across Austria and Germany, with a particular focus on Germany.

You’ll be responsible for translating demand into capacity and resource requirements, supporting the deployment and management of Examiners and Venue Staff, and ensuring operational efficiency while maintaining high service standards.

Key Responsibilities

Planning & Coordination

  • Support daily scheduling of Examiners and Venue Staff across all exam products using systems such as BOSS, Plan Exams, and EMM.
  • Confirm work schedules, travel arrangements, and event details.
  • Maintain accurate databases of staff contact details, training records, and performance data.
  • Arrange transport/hotels for staff working outside their city of residence.

Operational Support

  • Assist with staff work reconciliation and payment processing.
  • Collect and manage personal, fiscal, and payment details in line with legal and quality standards.
  • Support performance management activities including spot checks and follow-ups.
  • Help manage Examiner quality and compliance frameworks, including the Professional Support Network (PSN).

Stakeholder Engagement

  • Act as the main point of contact for Venue Staff and Examiners via email, portals and offline channels.
  • Provide performance-related information for second-stage exam enquiries.
  • Maintain strong remote relationships with colleagues across the cluster to ensure smooth test day execution.

Compliance & Risk Management

  • Follow corporate risk management procedures including safeguarding, security, financial protocols, and anti-fraud measures.

Test Day Support

  • Participate in a rotational Duty Officer schedule to support test day delivery at the office in Alexanderplatz, including early mornings in the office and occasional Saturday shifts (full training will be provided).

Knowledge and Experience ( Essential)

  • Strong organisational and planning skills
  • Excellent communication and stakeholder management abilities
  • Experience working with scheduling or resource management systems (e.g. BOSS)
  • A proactive and flexible approach to working in a remote, multicultural  and challenging environment against tight deadlines
  • Ability to understand and adhere to compliance regulated procedures and policies
  • Experience working in a team

Desirable

  • Experience working effectively in a geographically dispersed team

Languages (Essential):

  • English language skills to CEFR C1 level
  • German language skills to CEFR B1 level
