Join the Oregon Board of Tax Practitioners as our next Administrative Specialist and help ensure high standards for licensed tax professionals across the state.
We’re a small but impactful agency overseeing nearly 4,500 licensed individuals and businesses. Our mission is to ensure Oregon’s tax professionals are competent, ethical, and accountable. With a collaborative team and a supportive Board of Directors, we develop and administer exams, enforce professional standards, and make a meaningful difference statewide.
What You’ll Do
As our Administrative Specialist, you’ll be the backbone of our office operations, keeping things running smoothly and efficiently.
Key responsibilities include:
Delivering outstanding customer service via phone, email and in-person to licensees, exam candidates, and the public.
Coordinating the licensing program by reviewing applications, processing renewals and helping practitioners stay in compliance.
Supporting exam applicants from start to finish, ensuring they’re ready and eligible to test.
Assisting with continuing education tracking and audits to help licensees maintain their credentials.
Managing board meeting logistics, including scheduling, materials prep, and providing support for both in-person and virtual board meetings. You may also present brief updates during meetings.
Providing confidential administrative support to the Director, Board and internal partners.
Creating and updating forms, processes and SOPs to improve efficiency and streamline agency operations.

What We Are Looking For
Minimum Qualifications:
Two years of secretarial or basic administrative support experience that includes records processing, generating documents, and gathering and sorting data;
OR
An associate degree in general office occupations and one year of experience with records processing, generating documents, and gathering and sorting data;
OR
An equivalent combination of education and experience.

Has strong typing and 10-key skills with a high level of accuracy.
Is digitally fluent with hands-on experience using, or ability to quickly learn, tools like Microsoft Word, Excel, Outlook, and Adobe Acrobat to create, edit, and manage documents, spreadsheets, forms, and databases. Comfortable navigating virtual platforms such as Zoom, Microsoft Teams, Microsoft 365, and Sharepoint. Skilled at keeping digital workspaces (email, folders, and files) organized and efficient.
Demonstrates a professional, respectful, and responsive approach when serving a diverse range of customers, including sensitive or challenging situations.
Has the ability to manage multiple tasks and projects, prioritize competing deadlines, and maintain accuracy with minimal supervision.
Produces clear, accurate, and professional written materials, including proofing for grammar, formatting, and spelling.
Has experience explaining rules, policies, or procedures to the public in person, by phone, and in writing in a way that is accurate and clear.

Additional Details
Our busiest periods are typically May 15 – June 15, September 15 – October 15, and November 15 – December 15. During these peak times, we may ask that you limit planned time off to ensure we can meet the needs of our licensees and maintain smooth operations.
*The salary listed is the non-PERS qualifying salary range. If the successful candidate is PERS qualifying, the salary range will reflect the additional 6.95%.
