The Portfolio Administrator works closely and gives guidance for legal alignment with all elements with Asset Management, Office Portfolio VP of Operations, Senior Property Manager along with assisting the Office Portfolio Property Management team members including all SPM’s, APM’s, Office Administrators and Engineering Departments. 


Duties and Responsibilities:

  • Prepares Master Agreements “MA” (Entire MC Campus and beyond). Reviews all MAs and make sure Metro National is protected in all aspects from exposure.
  • Ensures owner entities correct and up to date on all MA.
  • BCS database tracking Certificates of Insurance regarding new and renewal certificates updating continuously (Campus).
  • Telecom Right of Entry Agreement “ROE” negotiations through full execution (Office) May be going with Lorraine to Leasing. Need confirmation.
  • Setup and monitoring of Emergency Building Generator Fuel Account(s) through full execution (Office).
  • Tenant Website Updates (Office).
  • Emergency Action Plan “EAP” updates with all ELT and Campus Security.
  • COH Water Bill Account Administrator (Office)
  • Construction Manuals continuous updates (Office)
  • Annual Hurricane Plan continuous updates (Campus)
  • Coordinates, schedules, executes Annual Hurricane Plan review meeting (Campus wide)
  • Annual E-Cycling event’s organizer – Spring and Fall (Office)
  • BOA P-Card allocation/coding (VP of Operations and Senior Property Manager)
  • Monthly phone list updates (Campus)
  • Prepare legal documents for SPM to submit to legal for advice/comments prior to execution.
  • Provides training/advice to SPM’s, APM’s and Property Administrators regarding the correct procedure of executing MAs and accepting COI reviews.
  • Any other tasks assigned by VP Operations and Senior Property Manager

 

Requirements

 EDUCATION AND REQUIRED EXPERIENCE:

  • A bachelor’s degree in Business related discipline is preferred
  • Previous experience with contracts management or support
  • Preferred Real Estate or Property Management Experience
  • A minimum 3 years of property management experience, preferably in commercial /Class A office Management. 

SKILLS, QUALIFICATIONS, AND OTHER REQUIREMENTS

  • Must have intermediate to advanced MS 365 Word, Excel, and Outlook proficiencies. 
  • VTS Rise and accounting software such as MRI preferred proficiencies. 
  • Ability to keep information strictly confidential.
  • Strong desire to succeed in an entrepreneurial environment.
  • Must be able to handle multiple projects, changing priorities and a continually heavy workload. 
  • Exceptional oral and written communication skills.
  • Strong customer service orientation.
