Position Purpose:
The Registrar Service Desk Specialist assists in leading the forward-facing efforts of the Registrar team to deliver the utmost student experience regarding the accuracy and integrity of academic records and compliance, change requests, and the receipt of documents promptly. As an integral part of the Office of the Registrar, this role partners in the endeavor to successfully steward all of the Charis Bible College academic records for Online, Stateside, and Woodland Park Main Campus students, encompassing all years of study at Charis Bible College.
***Due to the schedule of this position, current Charis Bible College Day students will not be considered for this role.
Essential Duties:
- Provide exceptional service to students and alumni by processing requests for transcripts, enrollment verifications, certificates, record changes, and other official documents across all Charis educational platforms and locations.
- Respond promptly and professionally to student inquiries received in person, by phone, and through the shared Registrar email, ensuring accurate and timely communication.
- Facilitate student onboarding and registration by assisting new and returning students with enrollment in the correct courses and ensuring statuses are accurately maintained in institutional systems.
- Perform accurate updates and data entry in the Student Information System (SIS) in alignment with Registrar policies and procedures.
- Maintain compliance and confidentiality with institutional policies when handling student records and communications.
- Collaborate with Registrar team members to resolve student issues efficiently and improve service processes.
- Support system integrity by assisting with data migration, legacy system clean-up, and the launch of new systems, as needed.
- Available to support Hybrid Students at designated times, as needed.
- Available to support conferences, as needed.
- Other duties as assigned
Qualifications
Knowledge, Skills, and Abilities:
- Customer service and task-oriented.
- Excellent verbal and written communication skills.
- Strong problem-solving skills.
- Effective time management, high-level organization, and administration with attention to detail.
- Comprehensive operation of a Windows-based computer with preferred expertise in Microsoft Office programs (Word, Excel, Outlook, PowerPoint, Access, etc.).
- Knowledge and willingness to learn software systems for maintaining and processing student records.
- Understanding of academic record-keeping in a setting of higher education.
- Effective contribution as a team member, as well as excellent communication and coordination with other employees.
- High level of professionalism and discretion in dealing with sensitive and confidential information.
- Demonstrative reliability, integrity, and trustworthiness.
Requirements:
- Must have a personal relationship with Jesus Christ.
- Must sign the Statement of Faith.
- A high school diploma or equivalent education is required.
- A Charis Bible College graduate is preferred.
- Must pass all required checks.
Experience:
- A minimum of one year of administrative experience is required.
- A minimum of one year of customer service experience is required.
- Compensation is commensurate with experience.
