Since 1972, Therapeutic Health Services (THS) has provided evidence-based, culturally appropriate and compassionate behavioral health treatment, programs and services for children, youth, and families with substance use and mental health disorders. We are on the frontlines:

We are hiring a full-time Site Supervisor to join our Seattle team at our Seattle Branch. As a Site Supervisor, you'll be responsible for the smooth operations of assigned high-volume facilities. Additionally, this person supervises the staff and functions of the support services unit, ensuring the quality and timeliness of administrative activities, appointment scheduling, reception, purchasing, client records, administrative files, administrative and statistical reports, equipment maintenance, facility maintenance, and other related work as required. This is an in-person position, 40 hours per week, and the pay is $30.77-$33.96 an hour.

Requirements

  •  Supervises one or more individuals, assigning and monitoring work tasks.
  • May supervise Community Liaisons
  • Coordinates and manages the flow of client traffic in high-volume locations. 
  • Develop and maintain operating procedures for the support services unit, consistent with applicable laws and regulations; reviewing all significant changes with the Support Services Manager.
  • Identify and implement needed improvements in administrative processes and workflows; reviewing all significant changes with the Support Services Manager.
  • Intervene with clientele and employ de-escalation techniques as necessary.
  • Serves as a liaison at the site level in coordinating between distinct programs within THS: Involving program managers and the Support Services Manager, as necessary, to resolve concerns.
  • Equitably manages space concerns at the location, including office and parking spaces.
  • Recommends support services staffing levels to the Support Services Manager, based on workload analysis and overall program plans.
  • Participates in the selection and hiring of all site support services staff.
  • identifies training needs and ensures training is received
  • establishes performance standards, provides regular performance feedback, including written performance evaluations
  • recommends salary adjustments to Human Resources
  • Ensures that reception and appointment scheduling functions are staffed during all hours of operation.
  • Collaborates with patient care representative and appropriate program manager to assure adequate coverage for intakes and assessments.  
  • Ensures that all equipment is maintained for efficient operation and longevity and instructs staff in its correct operation.
  • Ensures overall general maintenance and appearance of the facility, including neatness of the reception area and other common areas.
  • Recommends arrangements for equipment purchase, equipment maintenance, purchase of office supplies, and contracting for facility maintenance with approval from the Support Services 
  • Ensures all active clients receiving services have an active profile in the EMR system. 
  • Ensures that all documents are scanned into the client’s electronic chart within 60 days.
  • Prepares or supervises the preparation of statistical and administrative reports.
  • Establishes a system of reporting and verifying the validity of subpoenas, court orders, and other administrative documents and follows-up as necessary.  
  • Reports receipt of all legal documents to the CEO and Executive Assistant.
  • Other duties as assigned.

MINIMUM REQUIREMENTS:  

  • High School Diploma or Equivalency
  • At least one year as a lead or senior clerical staff person 
  • At least five years of administrative experience
  • Ability to manage sensitive situations with discretion
  • Ability to maintain a professional demeanor at all times
  • Ability to form positive relationships with clients and staff and work collaboratively in a team-oriented environment
  • Demonstrated problem-solving, conflict mediation, and crisis management skills
  • Ability to exhibit compassion and empathy, and demonstrate these qualities with people from diverse racial, economic, cultural backgrounds, and gender identities
  • Must have excellent written, verbal, and interpersonal communication skills

  • Demonstrated ability to adapt to changing environments and manage multiple priorities effectively
  • Strong organizational skills with attention to detail
  • Proficient in Microsoft and Excel. 

PREFERRED QUALIFICATIONS:  

  • Associate or Bachelor’s Degree in Business Administration, Management, Social Work, or a related field.
  • Supervisory experience managing teams in a high-volume environment.
  • Experience with electronic medical records (EMR) systems and data management.
  • Experience with electronic patient scheduling systems
  • Strong analytical skills

  • Ability to converse with and listen to people in many different settings
  • Ability to use a computer and telephone, as well as other standard office equipment
  • Frequently required to stand, walk, use fingers, hands, and arms
  • Ability to occasionally push, pull, lift, and/or carry supplies up to 25 pounds
  • Work takes place in a social services environment where long periods of sitting, working on a computer, walking to various work areas, going up and down stairs, and standing are required
  • Travel to program sites and meetings outside the site and around the county are necessary
  • Ability to work in an environment where there may be animals present, including dogs
