The school caters for 65 pupils who are aged 4 to 16 and serves the community of Cornwall.

Role Overview:
We are seeking a friendly, professional, and highly organised Receptionist to be the first point of contact for our school community. The ideal candidate will have a warm and approachable manner, a proactive attitude, and the ability to manage a busy front desk with care and confidentiality.
Safeguarding:
The Special Partnership Trust is committed to safeguarding and promoting the welfare of children and young people and expects all staff and volunteers to share this commitment. All offers of employment are subject to the satisfactory completion of checks and references, including an Enhanced Disclosure and Barring Service (DBS) check. In accordance with guidance in Keeping Children Safe in Education; the Trust will undertake an online search of all shortlisted candidates.
Key Responsibilities:
To allow access and greet visitors in line with the school procedure, including monitoring use of electronic signing in system for staff and visitors. Ensuring safeguarding is prioritised.
To assist in the organisation and arrangements for meetings, including circulating agendas and minutes, organising venues/refreshments as required
To provide general HR administrative support with personnel files, recruitment paperwork, and recording and booking of training courses if applicable
To support whole school events such as parents evening and public events
To provide administrative support for pupil trips and visits as required
To receive and prioritise incoming telephone calls/emails and deal with them appropriately including recording and distributing messages as required and booking appointments
To input new and updated information on the school’s computerised systems for pupil records as appropriate, ensuring all records are maintained and up to date
To maintain accurate school attendance records, processing data, transferring attendance registers onto Arbor and assisting in the production of termly attendance data reports specific to Headteacher requirements
To provide administrative support relating to school census returns as required
To produce data, reports and other information as required
To manage the receipt, recording and overseeing of school payments, including cash received, following the trust cash handling process. Paying in accurately and sending the relevant documentation to the trust finance team in a timely manner
To provide administrative support such as typing, photocopying, shredding, filing and archiving
To sort and distribute incoming post and prepare outgoing mail, record incoming goods and provide assistance with stock control and lost property
To ensure appropriate standards of tidiness and order in the school reception area so as to project a professional and welcoming environment for parents, pupils and visitors to the school
To link with external agencies/providers as required, ensuring professionalism is maintained
To manage the school diary
To run the school’s text communication service and relevant social media accounts
To oversee the stock taking and replenishment of consumables
To maintain a key role in the school’s fire evacuation and emergency communication procedures
To deal with all administrative aspects of the school meals process. Process school lunch orders, updating the associated systems accordingly and communicating menus to staff and parents. Chasing outstanding debts and alerting Headteacher of any significant/overdue debts as appropriate
To maintain and develop content for the school website ensuring all information is current and accurate
To produce the school newsletter as required
To support other administrative functions in the school during busy periods
Qualifications and Experience:
Attainment of 5 GCSE’s A-C (or equivalent) including English and Maths.
Experience of reception and clerical work
Experience of telephone network systems
Communication skills
Organisational skills
Able to multitask and work effectively with frequent interruptions
Able to work on own initiative and as part of a team
Knowledge and practical application of Microsoft packages
Demonstrates an awareness, understanding and commitment to the protection and safeguarding of children and young people
