GENERAL SUMMARY OF DUTIES:
Directs, develops implements, disseminates, and administers operations strategies and objectives to ensure the achievement of organization’s goals and objectives. Directs the operations function in conjunction with business growth, introduction of new operational systems, meeting organizational financial objectives, and meeting organizational goals in relation to safety, quality of care, and timely delivery of services. Serves as a liaison between PHC administration and PHC offices.

SUPERVISION EXERCISED:
Provides support and leadership to Office Managers/Front Office Coordinators
ESSENTIAL FUNCTIONS:
1. Assists with operational issues, particularly those related to PHC offices.
2. Regularly performs practice assessments with improvement recommendations office manager and physicians.
3. Assist in the management of associate physicians.
4. In conjunction with the IT team, assist with the implementations of software applications.
5. Serves as coordinator of practice acquisitions.
6. Runs office/department meetings.
7. Provides and coordinates Office Manager training, support and goal setting.
8. Manages programs to consistently update Office Manager and front office staff on proper techniques and procedures.
9. Maintains and updates Operations Manual.
10. Frequently visits assigned offices to maintain rapport with physicians and staff.
11. Manages customer service programs and initiatives.
12. Serves as a member of the Administrative Team.
13. Assists offices with human resources initiatives and personnel actions.
14. Consult with offices regarding systems implementation.
15. Assists with new business development.
16. Uses data to provide benchmarks used in goal setting.
17. Recommends new policies and updates to the Administrative Team.
18. Maintains strictest confidentiality.
19. Ensures that offices operate in compliance with established rules and regulations.
20. Other duties as assigned.
Requirements
EDUCATION:
Bachelor of Science in Business Administration, Public Health or related field or equivalent education and work experience. Six Sigma Certification a plus.
EXPERIENCE:
Minimum of five years medical office management experience. Knowledge and experience with an EHR system.
REQUIREMENTS:
Must be highly proficient in Excel and adept with PowerPoint, Word, and Access. Skilled in exercising initiative, judgment, problem solving and decision making. Skilled in developing and maintaining effective relationships with clinical and administrative staff, patients and the public. Ability to analyze and interpret complex data. Ability to research and prepare comprehensive reports. Ability to communicate effectively in writing and verbally. Ability to communicate clearly. Knowledge and experience with Certified Medical Homes.
KNOWLEDGE AND SKILL REQUIREMENTS:
1. Knowledge of medical terminology, coding and office procedures.
2. Knowledge of third-party and insurance company operating procedures, regulations and billing requirements and government reimbursement programs.
3. Skill in establishing and maintaining effective working relationships with other physicians, employees, patients, payor organizations, and the public.
4. Skill in developing, implementing and administering budgets.
5. Ability to process patients and public inquiries and respond with poise and efficiency.
6. Ability to conceptualize work flow, develops plans, and implements appropriate actions.
7. Ability to maintain confidentiality of sensitive information, evaluates, solve problems and correct errors.
ENVIRONMENTAL/WORKING CONDITIONS:
Work is performed in a busy office environment Contact with employees and outside agencies. May involve handling situations with the public who are frustrated or upset.
PHYSICAL/MENTAL DEMANDS:
Frequent mobility and /or sitting required for extended periods of time. Manual dexterity. Some bending and stooping required.
