The Role:

The Reception & Team Assistant plays a vital role in ensuring the smooth day-to-day operation of the Paris office, as well as supporting the Annecy office when needed, while also contributing to regional initiatives across EMEA.

You will be responsible for delivering an exceptional experience for employees, customers, and visitors, maintaining a safe and compliant environment, and supporting broader facilities and operational goals. The position requires a proactive, organised, and service-oriented individual who can manage multiple responsibilities and collaborate effectively with internal teams and external partners.

Language proficiency: Must speak and write fluently in English and French.

Your Impact:

  • Site Operations & Experience: Ensure the smooth day-to-day running of the office and showroom, maintaining a clean, safe, and welcoming environment for employees, customers, and visitors
  • Compliance, Health & Safety, and Facilities Pos: Carry out regular compliance and health & safety checks, maintain documentation, support training coordination, and manage a high volume of Facilities Purchase Orders (POs) — ensuring accuracy, budget alignment, and timely processing across multiple vendors
  • Regional & Team Collaboration: Support your primary site and any new or future locations in your region, assist with courier and sustainability processes, contribute to EMEA-wide initiatives, and collaborate with other Reception / Team Assistants to share best practices and streamline operations
  • Support with coordinating meeting rooms, managing office supplies, and supporting general administrative functions
  • Professional handling of incoming calls, visitors, and correspondence with discretion and a customer-focused approach.

Who You Are:

  • You have great organizational skills with the ability to manage multiple tasks and ensure smooth day-to-day office operations
  • You are able to work effectively in a fast-paced, multicultural environment

We would Love to Hear from People with:                

  • Experience in reception, front desk, or administrative support roles
  • Hands-on experience with purchase order (PO) invoicing, including processing, tracking, and liaising with finance teams or vendors
  • Experience managing courier service
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Language proficiency: Must speak and write fluently in English and French
  • Able to travel to our Annecy office on business need
