Dykema Gossett PLLC, a leading national law firm, is recruiting for a Receptionist / Administrative Support Assistant in our Los Angeles office. The Receptionist / Administrative Support Specialist will greet all visitors, reserve conference rooms/offices, process office-related invoices, reconcile monthly VISA accounts, perform back-up typing and other clerical duties, assist supervisor with daily operations and provide administrative support to Office Manager/AA and Director, HR/Employee Relations.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Greets and directs all clients and visitors arriving in the office, and notifies appropriate party of their arrival.
- Answers office telephone lines, directing calls as appropriate.
- Reserves conference rooms/visiting offices and coordinates catering services for client meetings and other functions. Assists with set-up and clean-up.
- Provides administrative support to the Office Manager/AA and Director, HR/Employee Relations.
- Processes visitor/vendor/maintenance requests utilizing the building tenant portal account.
- Codes, verifies and inputs invoices for payment utilizing Aderant accounting software program.
- Reconciles Visa charges for both administrative and client related Visa accounts.
- Following established procedures, completes NBIs and assists with opening files for new matters.
- Supports the Core Team with hospitality responsibilities.
- Provides overflow administrative support as requested, including but not limited to assisting with revisions of documents, typing discovery requests, mass mailings, etc.
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED
- Two to three years of post high school education equivalent or related work experience, legal preferred.
- Excellent verbal communication and interpersonal skills required. Familiarity with standard office protocol required.
- Typing requirement of 55 wpm.
- Working knowledge of computer software such as MS Word, Excel and Outlook.
- Excellent verbal and written communication and organizational skills required. Attention to detail required.

- Ability to be self-motivated and work independently.

The salary range for this position is $45,000 - $55,000 in Los Angeles. The offered salary will be determined by a variety of factors including, but not limited to, work location, individual skill set, previous/applicable experience, education, external market data and consideration of internal equity.
