Your role 

In this role, you will provide high-level administrative and operational support to Senior Directors and program teams. This role ensures smooth coordination of calendars, meetings, financial processes, and external events. The Program Assistant also supports program tracking and vendor/subgrant relationships using platforms such as SharePoint, Salesforce, and NetSuite. This Dallas-based role requires occasional travel and a proactive, detail-oriented approach to supporting dynamic, mission-driven work. 

 

What you’ll do 

Administrative & Operational Support 

  • Manage calendars, schedule meetings, and prepare materials to support leadership and program operations.
  • Maintain organized systems for tracking program milestones, deadlines, and deliverables.

Financial & Contract Coordination 

  • Support financial workflows including invoice processing, contract drafting, and subgrant setup.
  • Coordinate with internal teams and external partners to ensure timely and accurate documentation.

Event & Convening Logistics 

  • Serve as liaison with events staff to plan and execute external convenings.
  • Manage invitations, registration, and attendance tracking.

Systems & Data Management 

  • Use platforms such as SharePoint, Salesforce, and NetSuite to manage data, track progress, and support vendor/subgrant relationships.
  • Ensure accurate and timely entry of information across systems.

Cross-Team Collaboration 

  • Partner with program leads to support project management and ensure alignment with strategic goals.
  • Contribute to a collaborative team culture that reflects Educate Texas values.

 

Experience you bring  

  • Associate’s degree required; bachelor’s degree strongly preferred.
  • 3 or more years of experience in administrative, program, or project support.
  • Strong organizational and communication skills with demonstrated ability to manage multiple priorities.
  • Proficiency in Microsoft Office Suite (PowerPoint, Excel, Word, Outlook).
  • Experience with platforms such as SharePoint, Salesforce, NetSuite preferred.
  • Familiarity with RFP processes and virtual meeting tools (Teams, Zoom) is a plus.
  • Prior experience in education, nonprofit, or government sectors preferred.
  • Commitment to equity and student success, especially for underserved populations.
