Job Description
Exceptional Programs Office (EPO) Administrative Assistant: Reporting & IEP Compliance
Job Summary:
- Initiates and drives evaluation process including tracking timelines and helping build files and initial documentation
- Creates and maintains reports and logs on student data
- Collaborates with Exceptional Programs Office staff on compliance processes
- Works closely with secretaries and special education staff across the district and the charter school
Reports To: Director of Exceptional Programs
Qualifications:
- High School Diploma or Equivalent
- Demonstrated Accounting Skills

- Demonstrated Computer Skills
- Minimum of Three (3) Years of Related Experience
- Ability to Perform Essential Functions
- Working knowledge of FERPA and HIPPA (or a willingness to learn)
- Must complete a finger-print background check
Desired Qualifications:
- Knowledge of and experience with PowerSchool, Outlook, Access, PowerPoint, Word, with an emphasis in Excel and TIENET (PowerSchool Special Education)
- Better than average recommendations from previous employers and/or other professionals familiar with the applicant’s personal characteristics, academic achievement and workplace performance
- Understanding of Individual Education Program (IEP) processes
- Strong understanding of efficient use of time
- Knowledge of and experience with state reporting using STARs
Essential Functions:
- Documents timely movement of paperwork through internal IEP processes
- Coordinates with all sites in the movement of IEP documentation
- Gathers and coordinates evaluation data including the Review Existing Evaluation Data (REED) development and assignment to evaluators
- Assist evaluators with caseload lists
- Tracks and monitors timelines for annual, reevaluation, transfer, and initial IEPs
- Collaborates with Part C entities on transition for children into Part B services
- Coordinates Extended School Year (ESY) documentation and reports for EPO director
- Complete timely and accurate data entry for state reporting
- Assist with state reporting and verification of data
- Notify schools of IEP compliance issues and track correction processes
- Assist the director with identification of significant IEP based compliance issues so that he/she may address
- Notifies newspaper on destruction of records announcements; and collaborates with maintenance on records destruction
- Act as simple technical support for TIENET (PowerSchool Special Education) to answer questions surrounding logging in, troubleshooting minor issues, etc.
- Assisting the EPO Director in identification of significant technical issues in TIENET
- Follows oral and written directions
- Follows all Board of Education policies, administrative guidelines and faculty handbook and bulletin information
- Any and all other tasks as assigned by the Director of Exceptional Programs or his/her designee

Term of Employment
Salary and work year per the Aztec School District approved Director’s Secretary Payroll Schedule and the Aztec School District Calendar.
Evaluation
Performance of duty will be evaluated at least annually in accordance with Aztec School Board Policy.
Physical Rating Level
This position will require the employee to function at a “Medium” physical capacity as defined by Worker’s Compensation Statutes. “Medium” physical capacity indicates the ability to lift up to 50 pounds occasionally or up to 25 pounds frequently.
