Description: We are seeking a highly organized New Patient Referral Specialist with a strong commitment to patient care. The New Patient Referral Specialist is responsible for managing the intake and referral process for new patients. The ideal candidate will excel in providing exceptional customer service while efficiently handling inbound and outbound referrals, verifying patient eligibility, coordinating medical and administrative staff, and ensuring a seamless experience for new patients. This role plays a crucial part in ensuring seamless patient care and satisfaction.

As we continue to grow, we are seeking a New Patient Referral Specialist to join our team and support our mission. 

Essential Duties: 

  • Receive, review, and process new patient referrals from healthcare providers and other referral sources. 
  • Communicate with referring providers to obtain complete and accurate referral documentation. 
  • Enter patient referral information into the EMR system and ensure all necessary data is recorded. 
  • Schedule NP appointments.
  • Contact review organizations and insurance companies to ensure prior approval requirements are met and enter copays and insurance information into eCW. 
  • Check for and obtain authorizations before scheduling appointments. 
  • Contact insurance companies to verify patient plans and coverage options. 
  • Gather information concerning patient’s clinical background and referral needs. 
  • Review details and expectations about the referral with patients.
  • Answer phone calls and speak with new patients about appointment openings, cancellations, and referrals. 
  • Perform NP referrals through P2P for MIPS. 
  • Comply with HIPPA and other privacy regulations to ensure the confidentiality of patient information. 
  • Assist with other administrative tasks as assigned by management. 
  • Other duties as assigned.  Qualifications:

  • High school diploma or equivalent required. Additional certification in medical office administration or related field is a plus. 
  • Proven experience in a healthcare setting, preferably in appointment scheduling or customer service role.
  • Excellent verbal and written communication skills with the ability to communicate effectively with patients and healthcare professionals. 
  • Strong organizational skills with the ability to multitask and prioritize tasks in a fast-paced environment.
  • Empathetic and compassionate demeanor, with the ability to handle sensitive patient situations with care and professionalism. 
  • Proficiency in using scheduling software and electronic medical records (EMR) systems. 
  • Meticulous attention to detail to ensure accuracy in patient records and scheduling.
  • Ability to collaborate effectively with colleagues and contribute to a positive work environment.
  • Willingness to adapt to changing priorities and work schedules as needed.
