Business and Administration Advisor – Operations

About the role

Reporting directly to the Executive Director of Operations, the Business and Administration Advisor will play a pivotal role in delivering high-value advisory support across the Operations function. This is an exciting opportunity for someone looking to step into a true advisory role, contributing to strategic decision-making and business improvement initiatives.

Key accountabilities include:

  • Prepare and coordinate reports, board papers, and business documentation to support informed decision-making across Operations.

  • Provide insights and advice by interpreting complex information into actionable recommendations.

  • Collaborate with the Executive Director and senior leaders across the organisation to support strategic initiatives and operational projects.

  • Act as a proactive self-starter, managing multiple priorities and complex matters with minimal guidance.

  • Contribute to operational excellence initiatives and business improvement projects.

  • Leverage data analysis methods to support reporting and decision-making.

  • Build relationships across the organisation and support team members by providing guidance and insights.

About You

You are a proactive and curious professional ready for a true advisory role within Operations. You thrive in dynamic contexts, manage competing priorities, and turn complex information into practical solutions and recommendations that support senior leaders and drive operational improvements.

Our ideal candidate will possess the following:

  • Experience delivering high-value advisory and strategic support, preferably within an operational environment.

  • Strong written and verbal communication skills, with the ability to prepare reports, papers, and presentations that inform and influence decision-making.

  • Proven ability to manage multiple priorities, tackle complex matters, and drive initiatives independently.

  • Exposure to operational excellence initiatives and organisational design is advantageous.

  • Proficient in Microsoft Office Suite and SharePoint, with strong skills in data analysis and presentation; experience with Power BI is advantageous.

  • Demonstrated alignment with V/Line’s values of responsiveness, integrity, impartiality, accountability, respect, leadership, and human rights.

Remuneration for this position will be in line with the V/Line Rail Operations and Administrative Employees Agreement 2023.
