Reports to: Assistant General Manager
Description:
This is a leadership position that supports all aspects of ordering for Westwood Country Club. This position will work closely with the Assistant General Manager, Executive Chef and Department Heads to ensure proper procurement for products and services across all areas of the club. This position will have ownership of all receiving, quality control and product management within the F&B department and product procurement assistance for all other club departments.
Responsibilities:
· Must be a leader to the team, working closely with others and harboring an environment of professionalism, growth, impeccable communication and respect.
· Develop and implement purchasing policies, procedures, and best practices for the club.
· Source, evaluate, and select vendors and suppliers based on quality, cost, service, and reliability.
· Maintain a product quality that is acceptable to the department heads
· Negotiate pricing, terms, and contracts with vendors to secure favorable agreements for the club.
· Monitor and manage inventory levels to maintain par levels and adjust as business needs fluctuate.
· Work closely with department heads (Food & Beverage, Golf, Racquets, Banquets, Maintenance, etc.) to support and prepare for club activities.
· Track, analyze, and report on purchasing and inventory trends to support budgeting and cost-control initiatives.
· Ensure timely delivery of products; resolve any order or delivery discrepancies.
· Maintain accurate records of all purchases, pricing, and vendor information.
· Conduct periodic audits of inventories and purchasing processes to ensure accuracy and compliance.
· Stay up to date on market trends, pricing fluctuations, and new product options.
· Supports the development of 1-2 additional receiving team members
· Oversees all food, dry goods, clubhouse supplies, fuel and linen ordering.
· Ownership/Assistance of end of month inventory in conjunction with the Chef team.
· Ownership/Assistance of cooler and storage cleanliness/organization in conjunction with the Chef team.
· Completion of administrative monthly duties, including but not limited to: cost transfers, staff meal transfers, p-card reconciliation, and inventory completion and audit.
· Assist in maintaining Food Cost in accordance with the club’s yearly budget by providing the culinary team tools necessary to make appropriate decisions.
· Assisting the Chef team with any and all plate/product costing needs.
· Maintaining and expanding the inventory system(Dining Edge)
· Responsible for organizing and maintaining both the loading dock and lower-level storage areas.
· Enforces the Westwood culture of positivity and professionalism.
· Develops credibility with the Westwood members and team.
· Flexibility to adapt to the evolving needs of the club and departments
Requirements
· Prior experience as a purchaser or buyer is recommended
· Primary working hours are morning/mid-day, flexibility to work nights, weekends and holidays are required as business demands.
· Ability to lift, pull and push up to 50lbs
· Must be able to sit stand and walk for extended periods of time.
