We seek a proactive, detail-oriented candidate to set up, optimize, and manage the 90.io platform as the central nervous system for our client’s rapid expansion. You will be the central point of operational execution, ensuring strategic priorities are translated into weekly action, providing real-time task visibility, and serving as the communication hub for coaches and business leads. Your sole mandate: operationalize growth and maintain a high standard of excellence across all teams.
Key Responsibilities
- 90.io Platform Ownership
- Set up and customize 90.io for the business; manage permissions, workflows, and reporting.
- Maintain weekly dashboards tracking performance, task completion, and progress against 90-day/365-day plans.
- Serve as the go-to expert for all team members and coaches regarding 90.io use and troubleshooting.
- Weekly Meeting Management
- Plan and lead focused weekly meetings with the founder (“Visionary”) and key leadership (Head of Coaching/Product, Head of Sales & Marketing, Operations/HR/Finance, Customer Support).
- Ensure agendas are purpose-driven, outcomes are captured, and accountabilities are clear.
- Monitor follow-through on action items and priorities set in meetings.
- Task Accountability & Team Coordination
- Track all priority tasks across departments; know the status of each coach’s and team member’s commitments.
- Proactively flag misalignments, missed deadlines, and resource bottlenecks.
- Provide weekly status summaries (e.g., coach lesson count, sales pipeline status, hiring updates).
- Central Point of Contact
- Act as the direct liaison for all team members regarding priorities, deadlines, and operational processes.
- Enable coaches and staff to focus on their strengths by ensuring clarity and support for anything impacting their weekly priorities.
- Operational Excellence
- Uphold and champion a high standard of excellence in culture, customer happiness, and team morale.
- Identify and implement process improvements for scale as the academy grows rapidly.
- Collaborate on strategic initiatives with the founder and department heads without taking on executive decision-making for marketing, product, or sales strategy.
- Support Rapid Growth
- Oversee operations as the academy expands, playing a crucial role in scaling from 1 to 25 coaches.
- Manage, report on, and help prioritize hiring, onboarding, and resource allocation.
- Direct Collaboration: Founder/CEO (“Visionary”)
- Works Closely With:
- Head of Coaching/Product
- Head of Sales & Marketing (including agency/fractional support)
- Fractional Operations (HR, Finance, Legal)
- Customer Support Lead
- PhD in some scientific discipline
- Operations-minded with a bias for action and detail.
- Superior organizational and follow-up skills; the first to spot a missed task or disconnect.
- Experience running fast-paced, efficient weekly meetings.
- Comfortable as a “behind-the-scenes integrator” — the “glue” for a growing team.
- Strong written and verbal communicator.
- Tech-savvy and efficient with SaaS tools.
- Startup, sports coaching, or multi-site operations experience is a bonus.
- On-time completion rates of weekly and quarterly tasks for all teams.
- Quality of meeting outcomes (clarity, accountability, follow-through).
- Team satisfaction with operational support.
- Speed and effectiveness in scaling academy operations.
