JOB TITLE: Education Office Professional (to Building Principal) - Level II
REPORTS TO: Building Principal

POSITION PURPOSE/SUMMARY
Provides comprehensive administrative support to the building principal including effective communication and streamlined school management through organizational and technological skills to ensure the smooth and efficient operation of the school office.
QUALIFICATION REQUIREMENTS
Education Office Professional shall have a high level of competence in clerical skills as demonstrated by the District’s skills assessments and possess proficiency in Microsoft Office and Google Office Suite.
ESSENTIAL DUTIES
- Create and maintain a welcoming and professional office environment for students, staff, and building guests.
- Maintain safety screening procedures, emergency response support and implementation.
- Screen and direct phone calls, emails, and other forms of communication.
- Coordinate and oversee substitute staff members and all processes related to substitute positions, including but not limited to, building orientation and preparation of needed materials.
- Submit all assigned district reports in a timely manner.
- Proofread and prepare correspondence, communication materials, and various education reports and research documents.
- Assist with interview coordination, staff onboarding, check-in, and exit processes.
- Develop and maintain comprehensive digital and physical filing and documentation systems including personnel files, building resources, directories, forms, and other documents essential to staff.
- Maintain and update organizational calendars, including building calendar, website calendar, and building principal schedules including appointments, meetings, and events.
- Organize and promote administrative initiatives to support a positive and professional school environment
- Maintain confidentiality of all school-related matters.
(ELEMENTARY ONLY)
- Submit employee timekeeping reports and appropriate reports to the payroll department in a timely manner.
- Work with the District HR Generalist on extended staff absences to process appropriate leave requests and substitute coverage.
- Coordinate inventory for all materials, books, etc., received during the summer.
- Assist in preparing student registrations, orientations, and school event materials.
- Compile and complete the budget in accordance with district procedures and at the direction of the building principal.
- Manage all purchase orders and related tasks.
- Coordinate all needed purchases throughout the year as requested by teachers and administrators.
- Maintain attendance records in the appropriate software program on all students and complete monthly attendance reports as well as keep accurate records on all faculty and staff.
- Support building level Parent Teacher Committee by coordinating events, distributing communication and providing support in purchasing as needs arise (i.e. approved vendors, acquiring bids, etc.)
ADDITIONAL DUTIES
- Effectively communicate, verbally and in written form, with administrators, staff, and the community as needed.
- Effectively use and manage technology, including advanced software applications, communication systems, and specialized administrative tools.
- Assist other Education Office Professionals as needed to ensure building success.
- All other duties as assigned by the supervisor.

PHYSICAL DEMANDS
While performing the duties of this position an employee is regularly required to sit, talk, and hear. The employee is frequently required to walk and use fingers and controls. The employee is occasionally required to stand, reach, bend, lift, and carry up to ten pounds. Close vision ability to look at a computer screen for long periods is required

TERMS OF EMPLOYMENT
Employment will be on an at-will basis for 12 months with two weeks vacation, beginning July 1, or from the time of employment for the duration of the school year with prorated vacation and/or personal leave. Each Education Office Professional will be provided a work calendar showing the specific daily work schedule of the employee. The work calendar may be modified by the Board of Education at any time, as needs dictate.
Eight hours will constitute a workday. The Chief Human Resources Officer will establish a definite daily schedule.
The yearly salary will be disbursed in twenty-four (24) equal payments.
EVALUATION
Performance of this job will be evaluated annually in accordance with the provisions of the Board’s policy on evaluation of support staff personnel.
