Position Objective:
Performs administrative support duties for the Recreation Services Department including registering participants and program implementation.
Position Duties
Professional/Technical Duties and Responsibilities:
- Design, prepare, proof and distribute marketing materials including program and event fliers and program catalogs, in coordination with Communications Coordinator and Recreation Services Manager.
- Enter programs, registrations, and payments into CivicRec.
- Assist with planning and execution of recreation events: such as Pets in the Park, Boo Bash and Fire and Ice.
- Provide administrative support for Recreation Services department, working closely with other city departments (Parks, Finance, Communications).
- Manage schedules, invoices, and payments for public programs as needed such as Yoga.
- Coordinate communications, applications, payments and resident assignments for Community Gardens and canoe/kayak rack. Assist with maintenance of Community Gardens.
- Manage facility rentals of park spaces. Reserve spaces, issue and collect keys, and collect payments.
- Administer department email inbox. Respond to customers and forward emails to the appropriate staff.
- At times, may be asked to staff the information desk to greet, assist and direct visitors within City Hall.
- Perform other job-related duties as assigned.
Minimum Qualifications
Knowledge, Skills, and Abilities:
- Skilled in utilizing marketing software.
- Ability to multi-task and work with frequent interruptions.
- Ability to be flexible and reprioritize as business needs change.
- Ability to communicate well in person, in writing and over the phone.
- Skilled with Microsoft 365 applications and other technology platforms.
Education and Experience:
- High school diploma or GED
- Valid Minnesota drivers' license.
- Experience providing customer service and working with computers in an office environment.
Preferred Qualifications:
- Experience working with individuals of all ages in a program setting.
- Enrollment in or completion of a degree program in Recreation Services.
Other Qualifications
Physical Requirements:
The role requires the ability to sit for extended periods, perform repetitive tasks, and occasionally lift office supplies or packages. Infrequently assists with maintenance, watering, and rolling waste bins out for collection for the Community Gardens.
Working Conditions:
This position will work in an office as well as outdoors and in various recreation buildings. Outdoor tasks may include responsibilities such as event setup and takedown, program leadership, and moving and storing equipment. May require occasional evening or weekend work for specific projects and events.
