The Executive Assistant coordinates and executes on key clerical and administrative tasks related to the operational management of the firm. The incumbent will work closely to support a core team of legal and administrative managers from different practices and departmental functions, helping the group to maintain a 360-degree view of ongoing projects and overlapping work.
Hours of Work: 9:00 am – 5:00 pm, Fully In-Office
Duties and Responsibilities:
- Provide day-to-day individual administrative support, as needed, to the firm’s Managing Partner, Practice Group Leaders, and team of Departmental Directors, to include:
- Meeting planning and day-of support
- Calendar maintenance
- Document production
- Administrative projects as assigned
- Schedule, plan, and attend operations-related meetings, including soliciting agenda items, preparing materials, taking minutes and/or executing on administrative follow-up action items.
- Serve as a communication liaison for management team, with an eye for confidentiality and discretion.
SKILLS NECESSARY TO PERFORM JOB:
- Minimum of 5 years of experience in a professional services industry.
- Prior experience supporting executives.
- Ability to maintain confidentiality, apply discretion, and use good judgement to navigate sensitive situations.
- Excellent interpersonal and relationship management skills, including professional phone presence.
- High degree of proficiency with routine office and computer equipment, including Microsoft Office Suite.
PHYSICAL REQUIREMENTS:
- The physical requirements of this job are those of sedentary desk work. Must be able to operate routine office equipment, type, and work in a traditional office setting.
