Description

The Project Coordinator will be responsible for supporting Project Managers with monitoring project functions, organizing and participating in meetings, and ensuring project deadlines are met. Administers all clerical functions of the contract process. Builds & updates physical and electronic folders, audits folders for compliance. Ensures Contracts are signed and returned. Creates and processes subcontracts. Updates Master Job List. Enters all jobs and proposals into software. Ensures all jobs have Schedule of Value and budget. Provides clerical assistance to estimators & helps with customer concerns. Attends bid openings as needed. Creates purchase orders when needed. Ensures all tax-exempt certificates, COIs, W-9s, & certified payroll reports are distributed internally or externally. Ownership of subcontractor invoices including waivers. 

Key Responsibilities: 

  • Provide support to PMs and the project team to effectively administer project delivery 
  • Support the PMs in moving projects from bid phase into execution phase 
  • Support the PMs with schedule updates 
  • Assist PMs in all project cost control, progress measurement, monthly forecasts of project related deliverables 
  • Assist with the review of contractors or owners IFC and record drawings 
  • At completion, review the project for general compliance with contract documents including arranging for any required final inspections by the Project Manager 
  • Prepare contract required documents and ensure all required project documents are obtained 
  • Communicate ideas for improving company processes with a positive and constructive attitude, and for developing this attitude in others 
  • Inform the PMs and others about project status and issues that may impact client relations 
  • Support PMs in ensuring project Health & Safety & Environmental Standards are being met 
  • Provide administrative support related to time-entry or onboard as required 
  • Assist estimating team in gathering and analyzing return data 
  • Support Business Development on proposals: ensure that Project Controls elements and execution plans are included 
  • Support management in reviewing Project Controls workflow software to improve efficiency and execution 
Requirements
  • Minimum of two (2) years related work experience or combination of education and years experience preferred 
  • Post-secondary education in Construction Management, Project Management, Mechanical Engineering or related program is preferred, but not required 
  • Knowledge of main construction office processes; project set-up; subcontract management; change orders; RFI's; closeout preferred
  • Strong proficiency with Microsoft Office suite, Microsoft Project preferred
  • Maintain a valid driver license & willingness to travel to various project sites
