The Associate Registrar provides strategic leadership in developing and maintaining the transfer equivalency catalog and works directly with Academic Department Chairs, students, as well as the Registrar Transfer team in understanding transfer credit equivalencies between WCU and other institutions or credit for prior learning offerings.  The Associate Registrar oversees the system applications, business processes, reporting and compliance related to transfer equivalencies.  

This role also oversees the PASSHE Visiting Scholar Program at WCU, assists with the readmitting process for returning students, reviews student records for academic forgiveness policy updates, and provides support for enrolling non-degree students. 

The Associate Registrar does not advise students regarding curriculum or transfer work but serves as a resource advisor to our campus community on University policy and procedure.  

Responsibilities include:

  • Conduct ongoing audit of existing equivalencies to identify inaccuracies, redundancies, and opportunities for improvement
  • Administer the transfer credit appeals process
  • Engage in regular training and championing of the equivalency process and appeals process with Academic Departments
  • Maintain all applications related to transfer equivalencies including Transfer Credit Estimator, WCU Website, and AcademyOne
  • Develop and implement strategies to support Readmissions recruitment
  • Coordinate the PASSHE Visiting Scholar program at WCU in collaboration with Academic Leadership
  • Support posting of transfer credit, registration of non-degree students, and other records updates
  • Provide support to faculty, staff, and students regarding Registrar functions in accordance with university policies and procedures
  • Evaluate student records and update as applicable
  • Assist with all areas of student service including front desk reception coverage, phone support, email support and commencement activities
  • Other duties as assigned

Position Duties

  • Bachelor’s degree
  • Two years of work experience in a higher education setting
  • Demonstrated experience with higher education curriculum, transfer equivalency work, or application of higher education policy into business processes
  • Functional experience with Student Information Systems and applications that support transfer success such as Ellucian Banner, OnBase, TES College Source, AcademyOne, and Navigate

Minimum Qualifications

  • Master’s degree or other graduate level degree
  • Demonstrated knowledge of Registrar procedures and practices
  • Experience with higher education enrollment management or Registrar functions
  • Experience providing leadership for large scale projects
  • Experience providing customer service support
