The Straz Center is seeking candidates to join our programming team who have a passion for advancing the arts and embraces the Straz Center's mission and commitment to diversity, equity and inclusion initiatives. The primary function of the Programming Coordinator is to provide support to the Programming Department and to assist in maintaining the venue calendar. The Programming Coordinator may be required to work a flexible schedule including occasional nights or weekends. Standard work shift will be 9-5 weekdays with occasional fluctuation based on show and event schedule.

Essential Functions:

  • Assists with producing, presenting and rental events at Straz Center, from pre-contract through settlement
  • Facilitates events and scheduling with internal parties
  • Supervises the venue calendar, confirms room availability, recognizes potential scheduling challenges, and ensures conflicts are addressed by communicating with supervisor, departmental colleagues, and other internal parties.
  • Processes artists' contracts, ensuring review and edits to contract documents are consistent with company policy and as directed by Programming staff.
  • Process event payments/deposits to fulfill event financial requirements in a timely manner.
  • Maintains and sends standard departmental reports on a timely basis
  • Tracks and reports event status and next steps. Assists in reporting departmental activity internally and externally.
  • Serves as a liaison between Straz Center departments to ensure contractual fulfillment.
  • Follows financial rules, guidelines, and Straz Center standard operating procedures.
  • Assists with coordinating event details with internal departments, including but not limited to; Ticket Sales Office, Parking Administration, Facilities, Food and Beverage, Security and the general event set-up team.
  • Monitors coordination and execution of on-site operational elements.
  • Compiles and sends standard industry reports including but not limited to Billboard, Pollstar, music licensing companies, and Broadway League.
  • Prepares and submits departmental travel and expense reports.
  • Creates and maintain spreadsheets for tracking data.
  • Communicates inconsistencies, discrepancies, and errors in data.
  • Assists Programming Department with various administrative tasks including scheduling, purchasing, and corresponding.
  • Creates and distributes reports regarding venue calendar and events, often using software to do so.

Minimum Qualifications (Knowledge, Skills, and Abilities):

  • Knowledge of and interest in arts and entertainment.
  • Interest in the field of Programming and Arts Management as a career
  • Skilled in project management
  • Strong interpersonal skills.
  • Effective and efficient written and verbal communication skills.
  • Attention to detail and organization.
  • Effective proofreading ability with ability to understand a contract.
  • Ability to compare and analyze documentation.
  • Basic financial literacy skills.
  • Ability to track progress on multiple projects and respect multiple deadlines with changing priorities on a tight schedule.
  • Proficient in Outlook, Word, Excel, and Adobe Acrobat.
  • Ability to learn and work with widely-used industry software to pull reports, track events, and teach others.
  • Some availability to work nights and weekends, as required for events if needed.
  • Ability to work in a fast-paced manner
  • Self-motivated, curious, and enjoys working on a team

Education and Work Experience:

  • Knowledge and experience in the performing arts
  • At least one to two years' administrative experience using software as listed above.
  • Experience in event or project management preferred.
  • Experience with Momentus or other venue calendaring software a plus.
