Straz Center for the Performing Arts is seeking a Calendar Administrator to maintain the Straz Center venue calendar, communicate calendar events and availability company-wide, answer questions and provide guidance to calendar users, and provide support to the Programming Department.

Essential Functions:
- Facilitates events and scheduling with internal parties.
- Supervises the venue calendar, confirms room availability, recognizes potential scheduling challenges, and ensures conflicts are addressed by communicating with supervisor, departmental colleagues, and other internal parties.
- Responds to questions regarding venue calendar.
- Provides guidance to Center-wide calendar users.
- Liaises with calendar software provider to resolve issues, find training respources, and learn and communicate best practices.
- Notes relevant holidays and external events that will affect scheduling.
- Assists with producing, presenting and rental events at Straz Center, from pre-contract through settlement.
- Assists in reporting departmental activity internally and externally.
- Serves as a liaison between programming and other Straz departments regarding schedule of events.
- Follows Straz Center operating procedures and guidelines.
- Assists in creating calendar-related standard operating procedures and guidelines.
- Prepares and submits departmental travel and expense reports.
- Creates and maintains spreadsheets for tracking data.
- Communicates inconsistencies, discrepancies, and errors in data.
- Assists Programming Department with various administrative tasks including scheduling, purchasing, budgeting, contracting and corresponding.
- Creates and distributes reports regarding venue calendar and events, often using software to do so.
Minimum Qualifications (Knowledge, Skills, and Abilities):
- Knowledge of and interest in arts and entertainment.
- High comfort level with business software systems akin to (if not exactly) calendar and event management software.
- Analytical thinking when dealing with logistics.
- Mature interpersonal skills.
- Effective and efficient written and verbal communication skills.
- Attention to detail and organization.
- Understanding of basic event needs.
- Basic financial literacy skills.
- Ability to track progress on multiple projects and respect multiple deadlines with changing priorities on a tight schedule.
- Proficient in Outlook, Word, Excel, and Adobe Acrobat.
- Knowledge of Momentus or other venue/event management software a plus.
- Ability to learn and work with widely-used industry software to pull reports, track events, and teach others.
- Ability to work in a fast-paced manner.
- Self-motivated, curious, and enjoys working on a team.
Education and Work Experience:
- At least one to two years' administrative experience using software as listed above.
- Experience in event or project management a plus.
- Experience with Momentus or other venue calendaring software preferred.
- Experience with logistics or similar environment an asset.
