The Enrollment Coordinator is responsible for overseeing and coordinating all aspects of the student enrollment process, ensuring a smooth, efficient, and family-centered experience from initial inquiry through registration and placement. This role involves maintaining accurate student records, communicating effectively with families and school districts, and collaborating with internal teams to support appropriate student placement. The Enrollment Manager monitors enrollment trends, ensures accurate enrollment records, and plays a key role in optimizing student onboarding and supporting organizational growth.
Essential Duties and Responsibilities:
- Serve as the primary point of contact for families, school districts/pubic charter schools, and agencies throughout the referral and enrollment process for special education programs and services.
- Manage intake, registration, and placement of students, ensuring timely and accurate processing of IEPs, evaluations, and eligibility/enrollment documents.
- Utilize Salesforce and other web-based/digital tools to track referrals and class lists, manage communication workflows, and monitor enrollment across programs/services.
- Maintain accurate and compliant student records in PowerSchool, ensuring alignment with IEP requirements and state reporting standards.
- Collaborate with administrative, instructional, clinical, and transportation teams to coordinate appropriate student placements and support services.
- Communicate regularly with local education agency (LEA) supervisors, special education directors, and administrative staff to confirm placement and ensure smooth transition from home school to CCIU programs/services.
- Monitor and analyze enrollment data and produce reports to support organizational growth, optimize staffing, and manage capacity planning.
- Support the school/program colleagues in managing student enrollment and onboarding process. Collaborate with school/program colleagues to ensure timely admission/placement and commencement of services.
- Lead annual reenrollment efforts, including updating student records, verifying placement decisions, and communicating with sending LEAs.
- Support families throughout the enrollment process by providing clear guidance, timely updates, and a welcoming experience.
- Develop and maintain enrollment-related documentation, such as digital forms, procedural guides, and communication templates tailored to specialized populations.
- Maintain a sharp focus on process and procedure to maximize efficiency and continually enhance the customer journey (LEA and student/family).
- Understanding of special education processes, including IEPs, eligibility documentation, and federal/state compliance (e.g., IDEA, FERPA).
- Strong organizational skills and attention to detail in managing complex, confidential data.
- Excellent interpersonal and communication skills, with the ability to work effectively with families, school districts, and interdisciplinary teams.
- Ability to manage multiple priorities, meet deadlines, and adapt to changing program needs
- Commitment to equity, inclusion, and providing family-centered support.
- Advanced proficiency with Salesforce for managing workflows, referrals, and communication.
- Possess a working knowledge of PowerSchool or similar Student Information Systems (SIS) for maintaining enrollment and compliance data.
- Strong computer literacy, including Microsoft Office Suite.

Qualifications:
Education and Experience:
- Bachelor’s degree in education, special education, or a related field required
- Master's Degree preferred
- Minimum 2-4 years of experience in teaching, enrollment management, or student services required
- Experience working with school districts/public charter schools, families, and students with disabilities
Professional or Other Required Clearances - Special Education Teacher Certification preferred

*Placement on band is based on years of direct experience in a comparable role.
260 day position, 7.5 hours per day, 5 days per week
