ASM Global, the world leader in privately managed public assembly facilities, is seeking a highly organized and detail-oriented Catering Sales Coordinator to join our dynamic Sales and Food & Beverage team at the Moscone Center. This is an outstanding opportunity for a professional with a passion for client service, sales administration, and event operations.
POSITION SUMMARY
The Catering Sales Coordinator provides comprehensive administrative and operational support to the Catering Sales department, facilitating seamless coordination of client accounts, event documentation, and internal processes. This role plays a critical part in ensuring exceptional client experiences, accurate sales tracking, and efficient execution of events.
KEY RESPONSIBILITIES
Sales and Administrative Support
Serve as a professional first point of contact for clients, providing courteous and knowledgeable assistance.
Support Sales Managers in all administrative aspects of sales operations, including the preparation and distribution of proposals, contracts, letters, menus, and client correspondence.
Maintain and update exhibitor and client event files, ensuring all contracts, due dates, deposits, and payments are accurately recorded and tracked.
Process client billing, invoices, credit card charges, and monitor past-due accounts to support timely collections and revenue management.
Prepare and distribute catering documentation, including event orders, daily reports, delivery receipts, tip sheets, and updates to ensure flawless event execution.
Coordinate internal communications and correspondence with clients, other facilities, and departments to ensure seamless operations.
Event Coordination and Operational Excellence
Maintain the monthly sales and event calendar, tracking license numbers, COD event forecasts, and critical deadlines for sales and operational activities.
Monitor exhibitor services during shows and provide hands-on support at the service desk to address client needs promptly.
Assist in managing special sales initiatives, such as amenity programs or client engagement campaigns.
Update and maintain accurate event information on the company website and internal reporting systems.
Sales Administration and Reporting
Assist in tracking event sales forecasts and provide analytical reporting to Sales Managers to inform strategic decisions.
Support sales follow-up activities, ensuring timely client communication and attention to all administrative details that drive revenue and client satisfaction.
Participate in special projects as assigned, contributing to process improvements and operational efficiencies within the Sales and Catering departments.
QUALIFICATIONS AND SKILLS
Proven clerical and administrative skills, including proficiency in Microsoft Office Suite (Excel, Word, Publisher) and typing at 60 WPM.
Experience with hospitality, event management, or sales administration software is highly desirable.
Exceptional written and verbal communication skills, with a professional demeanor in client-facing interactions.
Highly organized, detail-oriented, and capable of managing multiple priorities simultaneously.
Strong time management skills and flexibility to work occasional weekends or holidays as required.
BA/BS degree preferred.
Prior experience as a catering assistant, event coordinator, meeting coordinator, or in sales administration is strongly preferred.
COMPENSATION
Hourly Rate: $25–$35 DOE
