About the Department

The Medical Assistant (MA) provides both clinical and administrative support in the delivery of health care services at the SBU Health Center. This role is essential in ensuring the smooth operation of daily health center activities and in supporting a welcoming, student-centered environment that prioritizes wellness, confidentiality, and timely access to care.

The MA performs a range of duties including direct patient care, preparation for medical procedures, diagnostic testing, electronic medical record documentation, and front office support. The ideal candidate will be organized, compassionate, and comfortable working in a collaborative, fast-paced college setting that serves a diverse student population.

Position Duties

 Clinical Responsibilities 

  • Greet patients and escort them to examination rooms; prepare students for visits by taking vital signs, including height, weight, blood pressure, pulse, temperature, and respiration.
  • Document patient history, chief complaint, and screening assessments in Medicat (the university EHR) in accordance with HIPAA and institutional protocols.
  • Assist medical provider during examinations, diagnostic procedures, and treatments.
  • Perform CLIA-waived lab tests (e.g., urinalysis, rapid strep, glucose testing), collect and process specimens for lab referral as needed.
  • Monitor inventory of clinical supplies, and equipment; ensure timely restocking and notify supervisor of shortages or expired items.
  • Clean and disinfect exam rooms and instruments between patients in accordance with infection control protocols.
  • Participate in public health initiatives (e.g., flu shot clinics, STI screening, outreach events) and assist with campus-wide health education programs when needed.

Administrative Responsibilities 
  • Schedule and confirm student appointments using the EHR system; manage walk-in visits andaccording to urgency.
  • Answer phone calls and emails, provide general information, and direct student questions to appropriate staff.
  • Verify student eligibility for services and ensure completion of required consent forms.
  • Maintain accurate and timely documentation of all encounters, treatments, and communications in the EHR.
  • Assist with the secure management of medical records, lab results, and referrals in compliance with federal and state privacy regulations.
  • Contribute to quality improvement projects, data tracking, and public health reporting.

  • Help with center or campus functions when and if needed. 

Minimum Qualifications

Education: 

  • High School diploma or equivalent.
  • Completion of a Medical Assistant training program from an accredited institution.

Years of Experience:
  • 1–2 years of in a college health or primary care environment.
  • Familiarity with EHR systems (e.g., Medicat, etc.).
  • Familiarity with adolescent and young adult health concerns, including mental health, reproductive health, and preventative care, is a plus.


Certification and/or Licensure:
  • Current certification as a Medical Assistant (CMA, RMA, or equivalent) preferred.
  • CPR certification must be maintained.


Knowledge, Skills, and Abilities:
  • Must have excellent administrative, communication, and organizational skills.   
  • Must be proficient using computer programs such as Microsoft Word, Excel, Outlook, and Webex.
  • Proficiency using and basic configuring/programming of electronic medical record systems is required for this position.
  • Ability to handle highly confidential material, understanding that all University information should only be disclosed to others who have a need to know, for legitimate business reasons. Have the ability to exercise and apply sound judgment and decision making skills as well as the ability to maintain integrity and confidentiality of data.
  • Must possess a clear understanding of HIPAA laws, confidentiality and protect the confidentiality of the student and their health records.
  • Possesses a solid knowledge of and adhere to all University rules and regulations, state and federal laws as necessary to perform assigned duties.  
  • Knowledgeable about the philosophy and objectives of the Student Health Services to effectively communicate to patients, families and other groups.  
  • Manage current electronic charts, inactive, and alumni charts (paper or electronic) in accordance with appropriate information management guidelines including chart assembly (scanning and documenting in the proper sections of the electronic chart), chart compliance with NYS standards and SBU policy, and shredding charts of alumni/inactive students per document management guidelines.
  • Ability to balance priorities to accomplish assigned tasks within the required time frame, be able to shift quickly between several tasks without loss of continuity, and utilize downtime to clean, re-stock, and prepare clinic.
  • Ability to accept supervision, assignments, change and constructive criticism in a professional manner.
  • Proven effectiveness in dealing with a wide range of professionals, staff, and administrators and good communication skills to relay general information to University constituents, as well as complex or adverse information with tact and diplomacy.

  • Maintain professionalism when dealing with all staff and other customers while fostering positive working relationships.
  • Develop and demonstrate a multicultural awareness and contribute to cultivating an inclusive, diverse and respectful University community. Utilize translation services when appropriate.
  • Demonstrate civil and inclusive behavior when interacting with staff, faculty, students and visitors to the University.

Working Conditions / Physical requirements:
Physical strength/endurance to enable him/her to perform/participate in the following activities:
  • Physically able to lift various materials up to 50 pounds on an occasional basis. Any item over 50 pounds would require incumbent to request assistance. May be required to assist in moving a person.
  • May be exposed to blood borne pathogens and other possible pathogens.
  • While performing required job tasks, physically able to bend, crouch and reach continuously.
  • While performing required job tasks, physically able to remain seated, frequently to continuously.
  • While performing required job tasks, physically able to walk and/or remain standing up to 30% of the time.
  • Able to perform rescue functions to assist students in cases of accidents, emergencies, and disasters to include arranging for emergency medical aid, lifting, dragging, and carrying people away from dangerous situations and securing and evacuating people from particular areas. 
  • Able to extinguish small fires by using a fire extinguisher and other appropriate means.
  • Possesses dexterity abilities required to operate a computer and other office equipment to perform related job responsibilities.
