What We’re Looking For:

The Customer Care Specialist – Resupply is responsible for delivering excellent customer service to patients, clients, referral sources, physicians, sales representatives, and coworkers. This role plays a critical part in ensuring that patients receive the durable medical and respiratory equipment, supplies, and related services they need while upholding SuperCare Health’s commitment to compassionate and efficient care.

What You’ll Do:

Customer Service & Communication

● Provide professional and courteous service for inbound and outbound calls.

● Answer phone calls and faxes, process orders for medical equipment, supplies, and repairs.

● Maintain open, timely communication with patients, clients, referral sources, and internal team

members.

● Respond promptly and effectively to patient/client questions and concerns.

Intake & Documentation

● Prepare patient intakes, including referral details, demographics, contact information, physician details, diagnoses, and discharge plans.

● Gather all required documentation prior to order fulfillment (e.g., CMN, Rx, ABG, Care Plan,

Authorization, Pre-Cert).

● Verify medical necessity with physicians.

● Confirm eligibility and coverage with insurance carriers following company guidelines and contracts.

● Document all financial responsibilities (copay, share of cost, deductible, etc.) and collect prior to processing orders.

Order Processing

● Accurately enter new and existing orders into the system in a timely manner.

● Process orders via multiple shipping methods, including closet and on-call orders.

● Enter insurance, general, and authorization notes in appropriate system fields.

● Onboard patients into automated notification systems (e.g., DF).

● Run and download PAP Compliance reports as required.

Compliance & Knowledge

● Maintain up-to-date knowledge of products, insurance coverage guidelines, and industry trends to best support patients.

● Ensure compliance with company policies, safety standards, and regulatory requirements.

● Maintain a professional, safe, and clean work environment at all times.

Team Participation & Other Duties

● Attend and actively participate in departmental meetings, company meetings, and in-service

trainings.

● Meet and maintain monthly performance goals.

● Report to work as scheduled and ready to begin at assigned start time.

● Work Saturday assignments as needed or scheduled.

● Perform additional duties as assigned by supervisor or management.

This role may be a fit if you have..

● Education/Experience: High school diploma or equivalent required; prior healthcare customer

service experience preferred.

● Technical Skills: Fundamental computer skills; ability to quickly learn new systems and software.

● Communication: Strong verbal and written communication skills with a professional and

empathetic demeanor.

● Organizational Skills: Ability to manage multiple tasks with accuracy and attention to detail.

● Teamwork: Collaborative mindset with the ability to work effectively across departments.

Adaptability: Flexible schedule with varying start times; willingness to work weekends as needed.
