JOB TITLE: Project Coordinator

OBJECTIVE:  Are you a highly organized, detail-driven multitasker who thrives in fast-paced environments? We’re seeking a Project Coordinator who will be the vital link between our project teams and the successful delivery of construction projects. In this role, you’ll draft and manage contracts and change orders, oversee project billing, coordinate building openings and closings, and keep every detail on track — all while growing your career in an exciting, hands-on position. ESSENTIAL FUNCTIONS

Financial Monitoring & Administration — 35%

  • Track and review project expenses, verifying invoices against budget allocations and identifying any discrepancies
  • Ensure seamless project billing by validating invoice details, initiating payment requests, and maintaining accurate financial records
  • Collaborate with project and accounting teams to ensure timely payment processing and adherence to financial protocols

Coordination & Communication — 30%

  • Work closely with Project Resource Specialists, Project Managers, Site Superintendents, city officials, contractors, and other stakeholders
  •  Address field, billing and compliance inquiries and resolve issues promptly or escalate when necessary
  • Facilitate building openings, inspections, quality control, and handover processes

Project Documentation & Compliance — 20%

  • Draft, review, and manage construction contracts, change orders, and related documents
  • Maintain organized, accurate records by managing and archiving all project documents for accessibility and audit readiness
  • Track compliance milestones and regulatory deadlines

Data Management & Process Improvement — 15%

  • Maintain accurate project data entry, updates, and reports in project management systems
  • Conduct research and analyze project metrics to support continuous improvements in project operations
  • Collaborate with team members to standardize documentation and reporting practices.
  • Coordinate construction warranty processes by managing documentation, communication, and follow-up on warranty-related issues.

Requirements

 

Requirements

Education and Experience Required:

  • High school diploma or GED equivalent
  • Valid driver’s license with reliable transportation to and from work
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook)
  • Working knowledge of Windows 11 Business operating system
  • Excellent written and verbal communication skills, with strong interpersonal abilities to maintain professional relationships
  • Strong analytical and problem-solving skills
  • Effective time management with the ability to meet deadlines 
  • Exceptional documentation management skills
  • Strong attention to detail and organizational skills
  • Ability to prioritize tasks and adapt to changing project and department needs
  • Self-motivated, dependable, and productive
  • Ability to work independently and collaboratively within a team

Preferred:

  •  Experience in the construction industry processes and procedures
  •  Associate’s degree or higher in construction, business, or related fields
  • Experience with .pdf editing software; familiarity with accounting or project management software such as Sage Construction Management.

Proficient in Microsoft Excel for maintaining project records, tracking expenses, and producing accurate reports.

Heavy Data Entry & Accuracy (30%)

Handle large volumes of data entry with exceptional accuracy, ensuring project records, invoices, and schedules are current and error-free.

Keen Attention to Detail (30%)

Maintain a sharp eye for detail when reviewing contracts, change orders, inspection documents, and financial records to prevent errors and maintain compliance.


Physical Requirements

  • Ability to lift and carry up to 40 lbs.
  • Must be able to remain in a stationary position for over 50% of the time
  • Clear speaking and adequate hearing sufficient to communicate effectively in person and via telephone

Special Requirements

  • Ability to work 40 hours per week during normal business hours (Monday – Friday 8:00AM to 5:00PM)
  • Site visits and occasional travel required

Work Environment

  •  This position requires the ability to work 40 hours per week during normal business hours: Monday – Friday, 8:00 AM – 5:00 PM. Site visits and occasional travel may be required with this position. The majority of this position is in a professional office setting, working with project teams and all levels of Company personnel
