Position Summary: 

The Adoption Family Care Consultant performs all administrative, record management, and office support duties associated with the Adoption Services program, in addition to assistance with community and client/family outreach. This position is temporary and expected to last through January 2026.

 

Essential Responsibilities:

  • Provide information about program to prospective adoptive applicants. Send inquiry PDF with orientation dates and schedule attendance to meetings.
  • Prepare resource packets, open case files and document events
  • Send request for all related adoptive application process information: reference letters, child abuse reports, and maintains files.
  • Upload documents to My Adoption Portal for adoptive parent files.
  • Send Notification of Proposed Placement of Child to DCFS.
  • Help to prepare and file Confidential Report packet with court as requested.
  • Prepare Report of Adoption, send for revised birth certificate, and forward to family when received.
  • Help to facilitate Parenting Adopted Kid (PAK) group activities including monthly mailings.
  • Maintain case files with appropriate case recording and filing.
  • Process agency-assisted communication and maintain records of post-adoption communication.
  • Maintain records of foster care placements.
  • Send for OBC, send Adoption Reunion Registry form to DCFS, send for medical records from hospital, send 100-B to NV ICPC if applicable.
  • Prepare medical records for dissemination to families and out-of-state agencies.
  • Create and maintain program databases, specifically:
    • Active client email list
    • Post-adoption contact
    • Requests for non-identifying information
    • Information/inquiry requests
    • Community and professional email list (attorneys, hospitals, agencies, etc.)
  • Send final documents through NV ICPC.
  • Post-adoption services to families—receive and send letters, pictures, and cards.
  • Update case file checklists.
  • Petty cash custodian—responsible for monthly report to accounting and replenish $300 petty cash allotment as needed.
  • Provide notarial services to clients or program staff.
  • Coordinate mail, monthly reports, supply/printing orders, payroll, and accounting business as required.
  • Process and maintain mail and email communication, log-in daily mail.
  • Review case files on a monthly basis for accuracy in document recording, billing, and other follow up. Bring any discrepancies to the attention of the social worker and manager.
  • Assist with workshop and seminar events including PAK (Parenting Adopted Kids) family activities.
  • Maintain billing system, make bank deposits as needed, and process banking documents on a regular basis.
  • Prepare in a timely fashion, monthly reports including volunteer time, deposit activity log, adoption program statistics, etc.
  • Complete research and prepare requests for non-identifying information.
  • Prepare files for closure and archive storage, communicate with company to scan documents, review scanned material, and prepare/send destruct instruction to shred paper files.
  • Maintain confidentiality of all client contacts, records, and case work.
  • Represent Adoption Services in ethical, professional, and positive manner at all times.
  • Protect all confidential information, company property and electronic data. Comply with safety rules.
  • Other related duties as directed.

Knowledge, Skills and Abilities:

  • Demonstrated knowledge of basic office organization and administration.
  • Must possess skills for establishing a good rapport with clients, other staff and the community.
  • Must be able to effectively interact with clients who are highly emotional as well as deal with personal emotions raised by the adoption process.
  • Demonstrated ability to cooperate and interact with all personnel, other agencies, the public, and organizations dealing with adoption.
  • Needs ability to prioritize tasks and be flexible as to changing priorities
  • Possess excellent oral and written communication skills.
  • Sound judgment to ability to work autonomously.
  • Proficiency in computers and software including Microsoft Office.
  • May not have a criminal, child abuse or other history that might endanger children

Qualifications:

  • Bachelor’s degree from an accredited college or university preferred.
  • Minimum of one year of work experience in adoptions, social services, or outreach, or combination of education and related equivalent experience.
  • Flexible schedule to work after hours and weekends, as necessary.
  • Must be at least 25 years old, have a valid Driver’s License with current minimum Nevada state required auto insurance.
  • Must provide and maintain satisfactory criminal and child abuse background clearance.

Physical Requirements:

  • Primarily works in office environment, but will also work throughout the agency and off site.
  • Ability to drive and transport clients in company vehicle.
  • Ability readily communicate with clients and co-workers..
  • Ability to operate and use office equipment, especially computer, keyboard and mouse.
  • Ability to continuously sit and/or stand. Ability to climb stairs as needed.
  • May occasionally lift up to 25 pounds.
