About the Department
The Employee Assistance Program (EAP) Coordinator will maintain schedules for all MBTA and MassDOT EAP Representatives, maintain confidential databases, and ensure client records, including electronic files, are maintained as required by federal, State, and local laws and regulations.
Position Duties
- Manage appointment schedule for all EAP requests for services with the EAP staff in the appropriate locations.
- Work onsite in person at 10 Park Plaza, Boston, MA, and occasionally travel to and work at alternate MBTA properties as needed.
- Ensure employee/applicant confidentiality.
- Coordinate with area supervisors the scheduling of employees for mandatory referrals.
- Coordinate requests for critical incident services.
- Coordinate the deployment of emergency EAP services for both MassDOT and the Authority’s EAP staff.
- Maintain confidentiality at all times.
- Assist EAP Manager with statistical analysis of information gathered from the database.
- Maintain clinical records in accordance with federal, State, and departmental guidelines.
- Manage inventory control, timekeeping, and cost containment.
- Manage accounts payable for OHS/EAP purchasing.
- Answer the telephone and greet visitors who utilize the EAP.
- Perform general clerical duties such as scanning, faxing, data entry and filing.
- Respond to each inquiry, whether from a customer, vendor, or co-worker in a courteous and professional manner.
- Adhere to the rules, regulations, collective bargaining agreements (if applicable) and policies of the Authority including the EEO, Anti-Discrimination and Anti-Harassment and Anti-Retaliation policies
- Perform all other duties and projects that may be assigned.
Minimum Qualifications
- A high school diploma or equivalent (G.E.D.) from an accredited institution.
- Three (3) years of experience as an administrative assistance in a mental health/substance abuse/medical office environment where interaction with confidential patients was a primary responsibility.
- Demonstrated ability to work effectively in crisis situations, with the ability to comprehend, communicate and respond to instructions, orders, signs, notices, inquiries, etc. Successful applicant must have English language skills required for the effective performance of the position.
- Effective organizational, analytical, and multi-tasking skills.
- Working knowledge of Word, Outlook, Excel, Database telehealth, virtual programing and Electronic Medical Records.
- Ability to provide internal and external customers with a courteous and professional experience.
- Ability to work any and all shifts and/or locations as assigned or directed.
- Ability to work effectively with a diverse workforce.
- Ability and availability to work during emergencies to provide support to the OHS EAP program.
- Ability to work onsite in person located primarily at 10 Park Plaza, Boston, MA with the ability to occasional travel to and work at alternate MBTA properties as needed.
Other Qualifications
- A master’s degree in a related subject substitutes for two (2) years of general experience.
- A nationally recognized certification, or statewide/professional certification in a related field substitutes for one (1) year of experience.
Preferred Experience and Skills
- An associate degree from an accredited institution.
- Additional work experience in a mental health/substance abuse/medical office environment in a transit or other public sector setting.
