Position Summary: The Accounts Receivable Specialist plays a key role in ensuring the financial health of Thorne by accurately managing, recording, and maintaining customer payment activity. This position is responsible for processing and monitoring incoming payments, verifying and posting receipts, and securing revenue in alignment with established administrative and accounting procedures.
Responsibilities
- Knows and follows the Accounting Department policies and procedures and Thorne Research policies and procedures as outlined in the Employee Handbook.
- Arrives at work as scheduled, starts work at the beginning of a shift, is on time to meetings, completes assigned tasks in a timely manner, and works overtime as required.
- Pays attention to detail. Completes paperwork accurately, neatly, and fully.
- Becomes cross-trained in all areas of the Department and willingly work in different areas as assigned.
- Gets along with co-workers and supervisors. Responds appropriately to criticism and instructions from supervisors. Follows the Standards of Conduct as outlined in the latest version of the Thorne Research Employee Handbook.
- Contributes to the accurate and efficient processing of all aspects of accounts receivable transactions, assuring processing is done in a timely fashion and according to department policy.
- Posts customer payments by recording cash, checks and credit card transactions. Posts sales invoices and credit memos.
- Processes incoming mail concerning billing and invoices.
- Reconciles the accounts receivable ledger.
- Contacts customers with past due balances to collect past due amounts and maintain credit limits.
- Investigates potentially fraudulent transactions.
- Calculates rebate commissions to customers.
- Verifies validity of account discrepancies by obtaining and investigating information from sales, marketing and customer service departments and customers.
- Communicates with clients about billing discrepancies.
- Reconciles shipment discrepancies.
- Tracks contracts with value in kind product.
- Tests new software upgrades or changes in a staging environment.
- Researches other abnormalities found in daily accounting practice in a timely manner, with limited supervision, and reports any significant discrepancies to management.
- Assists in preparing and reconciling general ledger accounts, posts journal entries, schedules commission and financial reports.
What You Need
- High School Diploma or GED required.
- Associate’s degree (A.A.) or equivalent from two year College or technical school preferred, and/or 3-5 years accounts receivable experience or training; or equivalent combination of education and experience.
- Specific Excel knowledge includes pivot tables and VLOOKUP formulas.
