The Role:

Sample Management & Coordination

• Serve as the key point of contact and subject-matter expert for all merchandise samples.

• Oversee end-to-end sample handling, including ordering, receiving, unpacking, organizing, tracking, and distribution.

• Conduct quality assurance checks on all incoming samples against product data to identify issues or inconsistencies.

• Partner with the merchandising team to obtain ETAs (Estimated Time of Arrivals) and communicate updates to requesting teams.

• Route and track samples according to order requirements, ensuring timely delivery to desired destinations.

• Manage logistics and collaborate with partners to prioritize products and resolve sample-related challenges.

Cross-Team Support

• Support marketing, merchandising, and cross-functional teams with timely sample requests and data reporting.

• Collaborate with the Marketing team to prepare samples for campaign shoots and facilitate as needed.

• Partner with internal teams to effectively communicate sample availability, prioritization, and scheduling updates.
  

Process & Efficiency

• Proactively improve efficiency of the sample management process by identifying opportunities for streamlined procedures.

• Maintain strict adherence to schedule requirements and escalate issues promptly to manage partner expectations.

• Take a proactive approach to learning about products in order to enhance accuracy, efficiency, and problem-solving capabilities.
  

Photoshoot Preparation

• Prepare samples for weekly in-house photoshoots, ensuring items are fully organized, accurate, and shoot-ready.
  

Experience, Skills & Qualifications

• High School Diploma or GED required; college coursework a plus.

• Proficiency with Mac computing platforms and Google Suite (Docs, Sheets, Drive).

• Experience with database management tools preferred.

• Strong communication skills (verbal and written) with excellent interpersonal abilities.

• Prior experience in retail, sample coordination, or stock inventory management highly regarded.

• Strong organizational skills with an acute sense of urgency and ability to prioritize critical tasks.

• Demonstrated ability to work in a fast-paced environment and meet stringent deadlines.

• High attention to detail with a commitment to accuracy.

• Self-motivated, proactive, and able to work independently with minimal supervision.

• Ability to stand, kneel, and lift up to 25 lbs. for extended periods.
