SUMMARY: Under the direct supervision of the Early Start Family Resource Network (ESFRN) / Family Empowerment Center (FEC) Manager, provide secretarial and administrative support to the ESFRN.  Receive and appropriately handle or route incoming phone calls and assist with triaging incoming referrals. Monitor email distribution lists, develop newsletter and events calendar and update website calendar. Some travel may be necessary.  Has no supervisory responsibility.

HOURLY RANGE:

  • $18.9869 - $18.9869 per hour 

SIGN-ON BONUS!

  • $250 sign-on bonus after the completion of 90 days of employment at IRC with work performance in good standing.
  • $500 sign-on bonus after the completion of 6 months of employment at IRC with work performance in good standing.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Receive and appropriately handle or route incoming phone calls on multiple phone lines.
  • Track contacts and accurately input into database.
  • Triage incoming referrals and track process.
  • Monitor distribution lists in email marketing platform and disseminate communication to families and professionals.
  • Develop and format newsletters and event calendars.
  • Update website calendar of events.
  • Prepare copies of educational materials.
  • Assist Manager and team with coordination, implementation and hosting of special events, meetings, and trainings.
  • Take meeting notes/minutes and distribute appropriately.
  • Assist with maintenance of office inventory.
  • Ensure confidentiality of all family and client information.
  • Demonstrate sensitivity to working with culturally, economically and/or socially diverse populations.
  • Attend staff meetings and professional development trainings.
  • Seek to maintain current and relevant knowledge base.
  • Keep Manager informed of pending work, work in progress and problems encountered.
  • Work cooperatively and effectively with others. Perform as a member of the team, answer questions, share expertise and contribute to the harmony of the team.
  • Use office equipment appropriately and report the need for any repairs.  Keep work area neat and orderly.  Observe all safety rules and comply with IRC’s Injury and Illness Prevention Plan and Workplace Violence Prevention Plan.­­
  • Ability to handle a hybrid work environment consisting of working in the office and remotely at home while maintaining work productivity and efficiency; communicate via telephone calls, video conference calls, emails, and chat rooms.
  • Handle change well and be flexible and adaptable in dealing with interruptions, new priorities and new assignments.
  • Maintain good attendance and punctuality.
  • Good verbal and written communication skills.
  • Utilize agency’s IT systems as assigned, maintaining security and following agency’s protocol and procedures, rules, and requirements.
  • Attend training sessions as required.
  • Comply with and ensure program compliance with agency’s Personnel Policies and Procedures.
  • Perform different or additional work as assigned.

MINIMUM POSITION REQUIREMENTS:

  • High school diploma or equivalent.
  • One (1) year of office clerical work including skilled typing and processing of a heavy volume of documents.
  • Two years of increasingly responsible office experience involving skilled typing is preferred.
  • Parent or family member of a child with special needs is preferred.
  • Knowledge of the early intervention and developmental disability system, plus related services are preferred.
  • Proficient knowledge of Microsoft Office products, email marketing platforms, and the ability to type accurately.
  • Must be self-motivated and able to work independently.
  • Ability to establish and maintain effective working relationships with others.
  • Good verbal and written communication skills.
  • Full use of an automobile, possession of a valid California driver's license and liability insurance for the minimum amount prescribed by law or ability to provide for independent transportation. Must have and maintain a safe driving record.
  • Bilingual preferred.
