Job Description

Reporting directly to the Director of Business Services, the Administrative Assistant provides administrative support for the Business Services Division and serves as the primary point of contact for internal and external communication and required business documentation as needed, including but not limited to: billing, payroll, interview scheduling, and contract management needs as stated by Director.  Essential Duties and Responsibilities include, but are not limited to, the following:

 

  • Completes a broad variety of administrative tasks for the Director of Business Services, including managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is often confidential and sensitive; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Plans, coordinates, and ensures the Director of Business Services’ schedule is followed and respected.
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Director of Business Services, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
  • Serves as the Director of Business Services’ emissary for seamless communication between the Director, Operations Manager, internal departments, or external stakeholders, and demonstrate leadership to maintain credibility, trust, and support.
  • Works closely and effectively with the Director of Business Services to keep him/her well-informed of upcoming commitments and responsibilities, following up appropriately.  Acts as a "barometer," having a pulse for the issues taking place in the work environment and keeping the Director of Business Services updated.
  • Provides leadership to build relationships crucial to the success of the organization and manages a variety of special projects for the Director of Business Services, some of which may have organizational impact.
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting letters, personal correspondence, and other tasks that facilitate the Director of Business Services’ ability to effectively lead the organization.
  • Prioritizes conflicting needs, handles matters expeditiously and proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Provides administrative support to ensure efficient operation of the office by answering and directing phone calls.
  • Works with the Director of Business Services to maintain documentation as needed, including but not limited to, billing, payroll, interview scheduling, and contract management needs as stated by the Director.
  • Carries out administrative duties such as filing, typing, copying, binding, scanning, etc.
  • Completes operational requirements by scheduling and assigning administrative projects and expediting work results.
  • Exhibits polite and professional communication via phone, e-mail, in person and mail.
  • Supports the Business Services team by performing tasks related to organization.
  • Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories, and evaluating new equipment and techniques.
  • Provides information by answering questions and requests.
  • Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
  • Other duties as assigned.

 

Qualifications

  • Associate’s Degree (A. A.) or equivalent from a two-year college or technical school in Office Administration or related field preferred.
  • Minimum of three (3) years of experience supporting administrative executives; or the equivalent combination of education and experience. Bachelor’s Degree is preferred.
  • Must have knowledge of Microsoft Office suite, including Windows, Word, Excel, and Outlook.
  • Valid driver’s license and safe driving history required.
  • Must be able to provide own transportation.
  • Must have ability to pass criminal background check.
