West Chester University of Pennsylvania’s Division of Student Affairs team invites applicants for the position of Administrative Assistant for Athletics NCAA Compliance (AA1). This is a temporary six-month assignment.

Reporting to the Assistant Athletics Director for Compliance, this position supports and monitors NCAA compliance of student-athletes and staff; assists with the day-to-day operations of the Athletic office; and provides excellent service to a diverse population of campus partners including student athletes, coaches, faculty, and staff.

The ideal candidate will demonstrate experience processing NCAA applications and using NCAA compliance software; customer service experience; strong administrative, organizational, and record-keeping skills; the ability to prioritize tasks and solve problems; and the ability to work independently and as part of a team.

Responsibilities include:

  • Greet visitors 
  • Answer incoming calls 
  • Maintain email accounts and respond to general inquiries
  • Provide administrative support to Assistant Athletics Director for Compliance 
  • Comply with all departmental, university, conference, and NCAA rules and regulations pertaining to an NCAA Division II Athletic program
  • Monitor and organize recruitment documentation involving unofficial visits and official visits
  • Monitor playing and practice seasons including countable athletically related activity (CARA) logs, Declaration of Playing Season, and Dates of Competition
  • Enter, update, and maintain student-athlete information in various databases
  • Monitor designation of staff including all paid, volunteer, undergraduate assistants and managers on staff including assigning D2U, PSAC Sportsmanship form and any human resources initial documents
  • Maintain accurate team rosters through university Banner, Compliance Assistant and Teamworks
  • Assist in rules education of student-athletes, coaches, boosters, and staff regarding NCAA and PSAC rules and regulations
  • Assist in the completion of all preseason requirements for all student athletes and coaches
  • Assist in certifying student-athlete Athletic and Academic eligibility regarding initial eligibility and continuing eligibility
  • Assist with the Institutional Scholarship program and renewal athletics grant in aid agreements
  • Assist with updates to student athlete handbook and department policy and procedure manual
  • Monitor and order supplies
  • Other duties as assigned

Position Duties

  • Such training as may have been gained through a four-year college or university OR any equivalent combination of experience and training 
  • Demonstrated proficiency in Microsoft Office including Outlook, Word, Excel and TEAMS

Required Knowledge, Skills & Abilities:  

  • Some knowledge of the principles and practices of public administration 
  • Some knowledge of the principles of governmental accounting, statistics, and public personnel administration
  • Some knowledge of the sources of information, methods, and techniques used in administrative research
  • Ability to carry out, with some supervision, staff assignments requiring the organization of material and development of procedures
  • Ability to conduct studies and analyze contributing to the development of sound operational procedures
  • Ability to speak and write effectively
  • Ability to establish and maintain effective working relationships with administrative officials, other employees, and the general public

Minimum Qualifications

  • Experience processing NCAA Applications 
  • Experience using NCAA Compliance software including Compliance Assistant, Teamworks, Transfer Portal, LSDBi, Eligibility Center, Learning Portal)
  • Administrative support experience in higher education
  • College coaching experience
  • Experience with student information systems and document management systems used in higher education (OnBase, Slate, Banner, SAP, 25Live)
  • Customer service experience

Other Qualifications

This temporary six-month assignment is not benefits eligible.
