About the Department
Processes requisition, assists customers at parts counter, places orders, receives and tracks inventory including parts and equipment for fleet/facility; confers with technicians and vendors regarding parts information and availability; performs inventory control and warehousing activities which involve manual labor and clerical duties; performs other duties as assigned.
Perform a variety of technical and clerical duties involving the procurement of materials and supplies for City of Woodbury fleet/facility. Assist in planning, organizing and maintaining the tool and parts room as well as other stocked parts and supplies stored within Fleet Services and other locations. Assist with pick-up and delivery of vehicles, equipment and parts.
Hiring Range: $30.42 - $34.46 per hour
Full Range: $30.42 - $42.58 per hour

Position Duties
ESSENTIAL DUTIES AND RESPONSIBILITIES
Receive orders from technicians, review for accuracy, and advise on the status of parts, ensure parts are able to be posted to work orders.
Prepare purchase orders and other necessary documents related to the purchase of materials and supplies; authorize payment to vendors, ensure all purchases are properly accounted for before payment is made.
Contact vendors to obtain quotes for stock and special-order items, research availability, quality and price of materials and supplies.
Manage parts, part returns, supplies and inventory by utilizing established preventative maintenance program and historical guidelines, recommend types and quantities of parts, supplies and inventory needed to support Fleet Services operations.
Perform shipping and receiving efforts to ensure timely processing, receive and check in parts and supply shipments; verify for accuracy; inspect received items for damage or defects: accept or reject goods, stock bins and shelves.
Perform parts pickup and delivery, drive fleet vehicles in a safe and appropriate manner between local work sites, and facilities.
Utilize fleet information management system to capture, track and control inventory relating to the purchase and procurement of materials and supplies.
Assist with inventory audits.
Analyze parts usage, conduct regular physical inventory count, forecast and maintain proper stocking parts/inventory levels.
Manage regular inventory counts and reconciliation.
Assist with developing and maintaining the weekly schedule. Such as filling out, ordering parts and filters, pulling and binning parts and filters.
Perform a variety of general clerical and accounting duties, coordinate a prompt, efficient and timely flow of paperwork, and assist in the collection of invoices.
Provide internal customer support, monitor customer satisfaction, and work with managers and fleet staff to ensure timely turnaround of parts need.
Assist with setting goals and objectives, advise, and make recommendations on parts storage layout for maximum effectiveness.
Assist with identifying, ordering and receiving accessories needed for new vehicles and equipment.
Assist with making fuel keys for vehicle/equipment fleet.
Assist with registration and licensing vehicles with the state of Minnesota.
Assist vehicle and equipment accidents files; includes setting up files, updating files, coordinating with claims adjuster, scheduler, body shop, user, Finance and city safety coordinator.
Assist with maintaining and managing vehicle and equipment manuals.
Manage the spare key storage for city fleet.
Assist with Safety Data Sheet (SDS) and Hazardous Waste management programs.
Assist with asset remarketing via auction process.
Provide tax exempt form & W9’s to finance & vendors.
Keeps Fleet Services Managers informed of daily work accomplishments, problems, new developments, and status of operations.
Enters inventory into Fleet Information Management System for tracking and purchasing activities. Ensures appropriate parts are available to minimize downtime and maintain Fleet Services technician’s productivity.
Prepares purchase orders and obtains necessary prior approval for procurement. Requisitions materials and supplies in a timely and cost-efficient manner.
Assist with reconciling incorrect invoices and statements.
Demonstrates initiative and independence in the effective completion of work responsibilities and assignments.
Maintain excel spreadsheets.
Assist with maintaining electronic vehicle and equipment unit folder on the common drive.
Maintains tool room inventory.
Assist with technician assigned toolbox/work bench/tool inventory.
Under the direction of the Fleet Services Manager communicates with both internal and external stakeholders daily via phone, 2-way radio, electronic and meetings.
Assist Fleet Specialist and Finance with physical inventory of equipment.

Minimum Qualifications
MINIMUM QUALIFICATIONS:
High school diploma or GED.
One (1) year of related experience found in an automotive environment or an equivalent combination of education, training or experience.
Possess ASE Parts Specialist certification in both automobile and medium/heavy trucks and/or ability to acquire within 1-year.
Basic skills in Microsoft Word, Excel, Outlook, and a parts inventory control system.
Experience with and knowledge of vehicles and equipment, maintenance practices and terminology.
Current and valid state Driver’s License and the ability to drive.
Demonstrated ability to communicate clearly and effectively both orally and written.
PREFERRED QUALIFICATIONS:
Two (2) years’ experience in vehicle parts inventory control found in an automotive environment
Four (4) year of related experience found in vehicle parts inventory control found in an automotive environment or an equivalent combination of education, training or experience.
Intermediate skills in Microsoft Word, Excel, Outlook, and a parts inventory control system.
Two years of experience as a technician in the direct repair of vehicles and equipment.
