Vendor Coordinator Full Time

Position Goal
The Vendor Coordinator is essential for the timely and accurate posting of insurance claims, denials, and patient payments to the correct patient accounts. This accuracy in posting is crucial for the efficient operation of the Business Office and plays a significant role in the financial stability of Jack Hughson Memorial Hospital and the Hughston Surgical Centers. Proper cash posting is vital for upholding the integrity of financial statements, as it guarantees that the appropriate funds are reflected in the system. Moreover, it assists the Business Office team in executing the correct follow-up procedures with patients and insurance providers. The analyst is also tasked with overseeing all vendor processes, reconciliations, and ensuring that files are processed accurately. They are responsible for providing assistance and serving as a backup when necessary within the department.
Position Responsibilities:
- Post all insurance, patient payments, denials and other received revenue payments promptly, accurately and efficiently.
- Responsible for sending out the weekly cash forecast each Monday to the appropriate staff members.
- Responsible daily for reconciling totals posted to batched amounts and balancing the daily cash clearing report
- Accurately understand the contractual obligations with government insurances and other non-contracted payers.
- Maintain knowledge of all JHMH & HSC contracted payers so that payments/denials are posted correctly.
- Responsible for reconciling the insurance payment, the contractual allowance, the patient�s copay and/or deductible to the remit.
- Responsible for posting vendor invoices and reconciling for accuracy.
- Resolves unapplied cash items within 10 business days of posting.
- Post and /or reviews adjustment forms, error correction forms, and balance transfer transactions daily.
- Responsible for running credit card transactions daily.
- Contacts insurance carriers/companies when explanation of benefits lack information required to post accurately.
- Responsible for filing, scanning and maintaining all related cash posting documents and other sensitive information.
- Receives and responds to correspondence received for items required for claim adjudication and disseminates other as appropriate.
- Retrieves remittances as necessary from payer websites for timely posting
- Provides support or relief for all other staff as needed.
- Serves as the liaison between the vendors and the Patient Accounts Department by transferring bad debt files, maintaining accuracy of inventory placed/returned, responding to correspondence, auditing of invoices, and attendance of meetings.
- Serves as a technical or functional resource and performs similar duties with staff.
Experience
Required:

2-4 years of Patient Access or Business Office, healthcare self-pay or insurance collections experience required.

1-3 years of cashier/payment posting experience required preferably in a healthcare setting.

Must be proficient in Microsoft Applications to include word, excel and PowerPoint
Education: High school diploma or equivalent required
Special Qualifications:
Required:
- Must have a valid driver�s license and satisfactory Motor Vehicle Record (MVR).
Preferred:
- Certified Patient Accounts Representative (CPAR) or
- Certified Revenue Cycle Representative (CRCR)
