Job Summary:


The Manager of Operations Administration is responsible for overseeing and optimizing all administrative functions within the Operations departments of both the Louisville and Thornton bakeries. This role ensures that scheduling, resource planning, and reporting processes align with operational excellence, cost control, and productivity goals.


Key responsibilities include:

  • Scheduling & Resource Management – Develop, coordinate, and oversee people scheduling to ensure alignment with labor standards, cost-control initiatives, and production needs. Actively monitor and address variances in scheduling to maintain efficiency and minimize waste.
  • Red Zone Management – Maintain a strong presence on the production floor during critical operational periods (“Red Zone” time frames). Provide real-time support, problem-solving, and decision-making to ensure uninterrupted workflow, adherence to production standards, and rapid response to emerging issues.
  • Project Administration – Lead and manage administrative aspects of operational projects, ensuring seamless execution, alignment with timelines, and proper resource utilization.
  • Workflow Optimization – Continuously evaluate and streamline administrative and operational processes to eliminate inefficiencies, reduce downtime, and support higher throughput without sacrificing quality.
  • Performance Tracking & Reporting – Compile, analyze, and present performance metrics to senior leadership, including labor utilization, schedule adherence, and production outcomes. Provide insights and recommendations for improvement.
  • Continuous Improvement Leadership – Champion a culture of Continuous Improvement by applying Lean principles and structured problem-solving methodologies. Partner with cross-functional teams to identify root causes, implement corrective actions, and drive sustainable improvements in productivity, quality, and cost.
  • Team Engagement & Development – Coach, train, and develop operations staff to strengthen problem-solving capabilities, accountability, and ownership of results.
  • Operations People Scheduling - Develop and manage production, packaging, trainers, sanitation and quality control schedules to meet planning demands and optimize workflows. Monitor and adjust schedules as needed to align with labor targets, resolving conflicts in coordination with production teams.
  • New Hire Onboarding - Design and maintain the operations onboarding program to align with company goals and best practices. Coordinate training, role-specific instruction, and job-shadowing while tracking progress, documentation, and time-to-productivity metrics.
  • Administration & Documentation - Oversee and maintain operations-related documentation, labor reports, and HR support files to ensure accuracy and compliance. Manage ERP data integrity, filing systems, and SOPs to support efficient administrative processes.
  • Project Management (e.g., Red Zone, Waste, Reporting) - Lead and coordinate key operational projects using structured project management practices. Drive workflows to completion, ensuring timelines are met, resources are optimized, and regular project updates are delivered to leadership.
  • Compliance & Reporting - Ensure operations align with company policies, safety standards, and regulatory requirements. Partner with HR and Safety on initiatives while preparing and presenting performance, compliance, and resource utilization reports.
  • Perform other duties as assigned.


Requirements

Position Requirements:

  • Bachelor’s degree in Business, Operations Management, or related field preferred; High School Diploma or equivalent required.
  • Minimum of 3 years of progressive experience in production administration, scheduling, or operations management, preferably in a high-volume manufacturing or food production environment.
  • Strong knowledge of production scheduling systems, ERP platforms, and Microsoft Office Suite, with the ability to quickly adapt to new technologies.
  • Proven leadership and communication skills with the ability to influence, collaborate, and build alignment across cross-functional teams. Hands-on approach to leadership, with the ability to support, coach, and empower team members on the production floor.
  • Exceptional organizational skills, attention to detail, and the ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Solid understanding of Lean Manufacturing, Continuous Improvement, and process optimization techniques; experience driving efficiency gains and reducing waste.
  • Familiarity with project management tools and structured methodologies to support initiatives such as Red Zone Management, waste reduction, and workflow improvements.
  • Strong analytical and problem-solving abilities with a data-driven approach to identifying issues and implementing effective solutions.
  • Demonstrated success working within complex scheduling environments with competing priorities.
  • Collaborative team player with a proactive mindset, capable of balancing day-to-day operations with long-term improvement initiatives.
  • Flexibility to work varied hours, including occasional nights, weekends, and holidays, to support production needs.
  • Consistent, reliable attendance and a strong sense of accountability.

Compensation is based on the level of experience, other relevant experience, and the requirements of the position. The range provided serves only as a guideline and does not automatically qualify all candidates (internal or external) for the high end of the range.


Compensation Range: $85,000 to $105,000
