What the Role Is
The Payroll Manager leads the company’s payroll operations with a focus on accuracy, compliance, and efficiency. This role is responsible for the timely and precise processing of payroll across multiple states and international locations, while maintaining the integrity of employment data within the HRIS. The Payroll Manager serves as a trusted partner to Finance, Legal, Operations, and HR, ensuring employees are paid accurately, government requirements are met, and systems run effectively. Beyond day-to-day operations, this role drives process improvements, system optimization, and strategic payroll initiatives.
How You Will Spend Your Time?
Payroll Operations
- Oversee end-to-end payroll processing, including hours worked, deductions, benefits, taxes, garnishments, and direct deposits
- Manage time and attendance calculations, retroactive wages, and employee data updates in the HRIS
- Ensure accurate year-end processing and timely distribution of W-2s and other tax forms
- Oversee Concur expense reporting and maintain system accuracy
Compliance & Auditing
- Conduct regular audits of payroll records, tax codes, and jurisdiction setups to ensure accuracy and compliance
- Maintain up-to-date knowledge of wage, hour, and tax laws; update payroll systems accordingly
- Prepare and submit government reports, and act as a liaison with federal, state, and local tax agencies
- Perform quarterly benefits deduction audits in collaboration with the Benefits Specialist
- Own or participate in annual audits including worker’s compensation, 401k, and financial audits.
Process Improvement & Projects
- Identify and implement opportunities to streamline processes and increase payroll efficiency
- Research, troubleshoot, and resolve payroll or system issues to ensure timely solutions
- Lead and contribute to payroll-related projects, ensuring successful execution and adoption
Collaboration & Leadership
- Partner with HR, Finance, Legal, and Operations leaders to ensure alignment of payroll with broader business goals
- Communicate effectively with employees at all levels, from individual contributors to senior leadership
- Serve as a subject matter expert on payroll best practices and technology
- Cultivate vendor relationships to maximize system performance and service delivery
Who You Are…
- Bachelor’s degree in Accounting, Finance, Human Resources, or equivalent experience
- Minimum 5 years of progressive experience managing payroll, including multi-state operations
- Demonstrated knowledge of payroll laws, tax regulations, and compliance standards
- Experience with international and/or union payrolls preferred
- CPP (Certified Payroll Professional) designation preferred
- Experience implementing or optimizing payroll/HRIS systems
- Background in Concur expense management or similar tools
- In-depth knowledge of payroll regulations, compliance, and reporting requirements
- Proven ability to analyze complex payroll issues, identify root causes, and implement solutions
- Strong project management, organizational, and analytical skills
- System implementation or payroll vendor transition experience
- Advanced proficiency in Microsoft Excel and other Microsoft Office tools
- Experience with HRIS and payroll systems (e.g., ADP, Workday, or similar)
- Excellent communication and interpersonal skills with the ability to build trust across all levels of the organization
