About the Department
Position Duties
Operate a microfilm camera, reader/printer, scanner and compact disc read-write drive to store and catalog student records; operate a computerized student information system to view and print a variety of information such as grades and attendance; retrieve microfilm and compact discs for viewing and printing; prepare, copy and maintain a variety of records, cards and inserts.
Answer telephones and greet visitors; provide technical information and assistance to callers and visitors; interpret, prepare, copy and maintain a variety of records, cards and provide explain policies and procedures related to assigned activities.
Respond to request from students, schools and outside agencies for student's transcripts according to established procedures; collect and account for fees received; prepare bank deposits.
Request, receive and interpret students transcripts from other schools; assure incoming transcripts are complete and accurate; assure graduation requirements are fulfilled.
Compose correspondence independently or from oral instructions; type letters, memorandums, legal documents, records and other materials; proofread and verify accuracy and completeness of documents.
Prepare students records and other requested information for court subpoenas; inform students or parents of subpoenaed information as directed; attend court hearing as requested.
Communicate with District departments and outside agencies to exchange information, coordinate activities and resolve issues related to student transcripts and cumulative records.
Provide work direction and guidance to school site personnel regarding assigned functions; conduct in-service trainings regarding student record-keeping techniques and laws, codes, rules and regulations related to student records and transcripts.
Identify and purge student records according to established guidelines and procedures.
Operate a variety of office equipment including a computer and assigned software; drive a vehicle to school sites to conduct work as necessary.
Other Duties:
Attend a variety of meetings and workshops to maintain current knowledge of technological advances in this field.
Perform related duties as assigned.
Minimum Qualifications
Licenses and Other Requirements:
Valid California Class C Driver's License. Proof of insurance required

Dexterity of hands and fingers to operate a computer keyboard.
