Job Summary
The Senior Administrative Coordinator at the Office of Indiana State Chemist (OISC) is part of an accounting team that supports a nationally recognized agency that strives to protect Indiana’s agriculture, environment and the public.
What You'll Be Doing:
- Coordinating with the Feed program staff to manage the feed quarterly tonnage process
- Assisting with incoming mail, including applications, forms and revenue and direct to appropriate recipients during renewal season
- Overseeing and assisting with the process of receiving, processing and reconciling credit card payments for the office
- Providing support and back up for all financial business processes to improve performance and efficiency
- Assisting supervisor with financial analyses of program accounts and in preparing financial reports to the State Chemist and program administrators
- Overseeing and assisting with customer service and communication, including collaboration and communication with the regulated industry
- Identifying solutions to problems or challenges as they arise and work with supervisor to implement them
- Assisting in training new employees and student workers to complete tasks effectively and efficiently
- Tracking completion of team objectives and effectiveness of processes and procedures
- Mentoring team members, new employees and student workers
- Making recommendations to supervisor for improvements to process efficiencies
What We're Looking For:
- High School diploma/GED
- 4 years of experience in business support, customer service, bookkeeping, administrative or operational support or a related field
- Organizational skills
- Effective communicator
- Interpersonal skills (teamwork, active listening, conflict resolution, etc.)
- Ability to problem-solve and present solutions to supervisor to help increase efficiency and improve effectiveness
Nice to Have:
- Associate’s degree in a field such as office management, business administration or similar
- Intermediate skills with office software such as MS Word and MS Excel
- Attention to detail
- Ability to explain policies and procedures
- Customer service, data entry and file management skills
